Job description

Job Purpose
As the Clinical Innovation Zone receptionist, you will be responsible for providing an efficient and professional reception service. You will maintain high standards and service quality of all aspects of the operation of reception area and provide timely administrative support which will include but is not limited to, travel, catering and room bookings. The CIZ receptionist will be based in ICE.
Main Duties and Responsibilities
1. To act as first point of contact at the ICE reception in welcoming visitors and answering enquiries from University staff, NHS staff and Industry, directing individuals to the relevant staff members. Answering the main telephone line and ensuring that calls are dealt with or passed on to the appropriate member of staff ensuring a courteous and efficient service is provided. 2. To respond to queries efficiently and effectively, resolving problems either independently or in liaison with relevant member of staff. For example, reporting faults to Estates ensuring that work is completed in a satisfactory manner and providing regular updates to the team.
3. To monitor stationery and consumables stock requirements, ensuring orders are placed via Agresso to keep stocks at agreed levels. To raise requisitions to generate Purchase order numbers via Agresso. Completing requisition logs, printing purchase orders, e-filing purchase orders and goods receiving items via Agresso. 4. To be responsible for a range of administrative duties performed in the reception area: (e.g., dealing with visitor processes & badges, security of the building and entrance, opening and distributing mail across the building, receiving deliveries and various clerical tasks to support the team including scanning, filing and data entry and maintaining a current building telephone directory).
5. Responsible for arranging conference registration, travel, accommodation and course booking, expenses processing and some coordination of meeting dates and times for the Clinical Innovation Zone team. Responsible for room booking requests and catering bookings across the Clinical Innovation Zone. 6. To provide event support to the Clinical Innovation Zone team.
7. To assist staff and visitors with the operation of photocopier, scanners and projection equipment, reporting faults where necessary and overseeing the maintenance of these items. 8. To ensure the reception is kept in a neat and tidy order giving a professional front end to the department.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential A1 Scottish Credit and Qualification Framework Level 4 in English and Mathematics (National 4) or equivalent, and some work-related experience A2 Knowledge of and skills in IT, including all Microsoft packages.
Skills
Essential C1 Ability to undertake assigned administrative tasks in a timely manner.
C2 Good organisational skills including time management and the ability to multi-task. C3 An awareness of the issues around confidentiality and dealing with sensitive material.
C4 Courteous and efficient telephone manner and ability to communicate effectively and personably with staff, external contacts and visitors to the department by telephone and face-to-face. C5 Proficient typing speed and attention to detail, e.g. accuracy and precision in data entry.
C6 Ability to work under pressure and prioritise tasks according to priority.
C7 Ability to use own initiative, work independently and as part of a team being pro-active and resolving issues with minimum supervision.
Experience
Essential
E1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post gained through previous work experience in a customer focused role.
E2 Experience in a role that requires attention to detail and an awareness of the importance of accuracy.
Desirable F1 Experience working in a busy office/receptionist environment
F2 Experience of working in a complex organisation.
F3 Experience of working to policies and procedures of a complex organisation. F4 Experience of working with databases and varying software systems.
Terms and Conditions
Salary will be Grade 4, £22,681 - £25,138 per annum.
This post is full time (35 hours per week) and open ended.
