An opportunity has arisen for an enthusiastic individual to join the HR Team as a HR Assistant based in the Perth office.
Reporting to the HR Advisors, the HR Assistant will help with a range of administrative tasks across the full employee lifecycle and be the first point of contact for all queries within the HR team. This is an exciting opportunity for an employee who wishes to develop a generalist career in HR.
The ideal candidate will have a passion for people, be proactive, enthusiastic, and open to the opportunity of gaining HR qualifications with the support of the business.
Responsibilities and Activities:
Recruitment
- Liaise with line managers to review and update job descriptions and adverts as required.
- Advertise vacancies both internally and externally.
- Process interview paperwork for preferred candidates.
- Arrange pre-employment testing.
- Draft contracts and offer letters.
- Send out formal offers of employment.
- Request references and right to work checks.
- Process pre-employment and induction paperwork, ensuring these are sent and returned in a timely manner.
- Act as first point of contact for all employee queries regarding the recruitment process or live vacancies.
- Process employee referral forms.
- Liaise with payroll regarding new starters.
HR System
- Update and manage the HR system (Microsoft Dynamics 365 HR).
- Add all new starts to the system.
- Terminate all leavers from the system.
- Process employee changes (change of address, change of bank details etc) through the system as required.
- Share responsibility for the accuracy of employee information within the system.
Daily Tasks
- Manage the HR Inbox – answer general queries and escalate other queries to the HR Advisors/Manager.
- Log and monitor absence, notify HR Advisors of trigger points being met. Ensure fit notes, self-certification and return to work forms are received in a timely manner from line managers.
- Create reports as and when requested.
- Assist HR Advisors and HR Manager with project work as necessary.
- Advise line managers on basic HR processes (recruitment, absence, leavers, holidays) as required.
- Process letters of resignation, calculate annual leave due/overtaken and confirm details with line managers/payroll.
- Process invoices – raise purchase orders or payment request forms.
Other Duties
- Assist in organising Joint Consultative Committee meetings and take notes.
- Assist HR Advisors at Employee Relations Meetings and Consultation Meetings. This will include Disciplinary/Grievance to take meeting notes when requested.
- Complete monthly KPIs including stats on turnover, absence and recruitment.
- Manage the company’s employee benefits scheme, BEAR Rewards and answer queries.
- Ensure HAVS forms are sent to all operatives and returned.
- Send out company wide correspondence as necessary.
- Provide any further administrative support which is required, covering the full HR spectrum.
Knowledge, Skills, Qualities, and Experience:
- Experience in an administration/HR admin support role is desirable but not essential.
- Excellent organisational and written & verbal communication skills.
- Able to work to deadlines in a fast-paced environment.
- High degree of accuracy and attention to detail.
- Ability to balance competing priorities under pressure whilst maintaining high standards of service.
- Ability to work with minimal supervision as part of a team and manage own workload independently.
- Good working knowledge of MS 365 (Word, Teams, Outlook, and particularly Excel).
- Proactive, enthusiastic and efficient.
- Be open to gaining HR qualifications with the support of the business.
