The Faculty of Asian and Middle Eastern Studies invites applications for the post of Faculty Administrative Assistant to provide efficient and effective office-based support to ensure the smooth running of the Faculty.
The role holder will provide a reception service, which includes but is not limited to dealing with day-to-day queries from staff, students and visitors. They will also support the administrative team and various aspects of administration related to the running of the Faculty's undergraduate and postgraduate office: creating the termly teaching timetable, updating room bookings, supporting open days, admissions and providing administrative support during the exam period. The Faculty Administrative Assistant will keep the Faculty's digital presence up to date using both web-editing and social media platforms. They will also assist with the organization of events and activities for outreach, widening participation, alumni relations and fund raising. Some custodial support will be required from time to time.
Applicants will have excellent interpersonal and organisational skills, very good IT skills, an eye for detail and the ability to work in a team environment. Applicants will be able to work independently to tight deadlines, be willing to learn new skills and will be able to use their initiative and judgment. Applicants must be able to prioritise and work well under pressure. Applicants will be expected to liaise with all stakeholders with tact and diplomacy, observing the need for confidentiality where appropriate.
Applicants should be educated to GCSE level grades A-C or equivalent / NVQ Level 2. They must have good knowledge of MS Office, including Word, Excel, web editing, and use of email and internet. Experience of working in a busy office environment, preferably within Higher Education, is desirable.
