Job Overview
The role of Administration Assistant is to provide full support to the Sport Signage team who are primarily responsible for the supply of signage at Formula 1 events. The role encompasses the provision of travel, accommodation and coordination for Sport Signage personnel and any associated organization. A comprehensive system of recording details of costs of vehicle and equipment hire and identifying local suppliers for each event. The position is based in Wheatley, Oxfordshire and some foreign travel may be required.
Responsibilities and Duties
· Arranging and booking some travel and accommodation, car hire, for Sports Signage and associates keeping changes to a minimum. Maintain a travel rota and ensure visas and relevant work authorities are obtained.
· Keep a log of all personnel attendance and days off using HR software. Ensure all trackside personnel have the relevant uniform and equipment issued and keep up to date records.
· Supporting the Sport Signage Team with administrative tasks.
· Keep detailed records of all equipment hire at events to include items such as boom lifts, fork lifts etc and identify possible suppliers local to each event.
· Attend events as determined by the Director of Operations, to provide support with F1 and the Sport Signage crew on site.
· Preparing and sending quotations and offers to clients and potential clients following the guidance of the directors
· Work with the Director of Operations to record all costs per event to enable effective reporting with F1
· Maintain a database of reports and agreements with F1 which will be accessible for Sport Signage personnel.
· Continually look for ways to improve current operating practices and make recommendations to the Directors.
Personal qualities, qualifications and experience.
Confident and well organised.
Educated to degree level or equivalent.
Experience in administration.
Good knowledge of Microsoft office (Excel, Word, Outlook and PowerPoint).
Full drivers license required.
Team player with good interpersonal skills.
Good communication skills.
The ability to build relationships at all levels.
An ability to multitask and work under pressure.
Demonstrate flexibility in fast moving environment.
Job Types: Full-time, Permanent
Salary: £21,000.00-£24,000.00 per year
