What You'll Bring:

  • 5+ years’ experience with bid desk management, RFP process and tender, including understanding the legal ramifications of providing a response to a bid/tender.
  • Strong business writer with high attention to detail and familiarity with contract language and legal terminology.
  • Experience with RFP platforms (i.e. RFPIO).
  • Experience with Salesforce.com.
  • English proficiency is required (ideally French proficiency as well).
  • Highly organized with experience in project management, including documentation and communication of progress, monitoring deliverables and ensuring project members remain aligned and accountable.
  • Excellent oral and written communication skills, ability to work with several cross-functional teams in a matrixed organization.
  • A self-starter with strong prioritization skills and the ability to manage multiple tasks across concurrent projects.

Impact You'll Make:

As the lead for Bid Desk and our Sales Operations contract repository, you will ensure that RFP’s and questionnaires are catalogued efficiently in our RFP platform and bids are completed and submitted accurately and in a timely manner. For key projects, you are the bridge between Legal, Sales and other teams as the central point of contact for contract information.

Core Duties / Responsibilities:

  • Project manage bid logistics; develop the schedule for the team and set responsibilities and expectations for the bid.
  • Manage all communication, internal and external, scheduling strategy and review sessions to ensure we meet bid deadlines.
  • In consultation with relevant internal team (Account Executives, Technical Pre-sales, Legal, Compliance, Information Security), respond and draft the RFP’s and technical questions/questionnaires in a manner that can be understood by a broad audience, ensuring English proficiency within a professional presentation that aligns to TU standards and brand requirements.
  • Review and comment on RFP’s and manage or co-manage discussion with customers as needed, particularly Government agencies.
  • Ensure compliance on RFP responses.
  • Manage the intake process and content repository of TU approved RFP responses, ensuring standard TU product and process descriptions are captured to maximize efficiency with stakeholders for future bids.
  • Manage all internal reviews and approvals from internal stakeholders for any RFP response before submission.
  • Manage the signing process for successful bids by aligning to established Legal processes.
  • Participate in win/loss reviews and debrief calls to understand how to improve our bid responses.
  • Proactively seek out ways to continuously improve the bid desk process.
  • For key projects requiring consideration of contract terms across various customers, manage a single view of pertinent contract information that can easily be referenced for project execution.
  • Bridge related communications and processes between cross-functional teams.
