The Role
Job Purpose
As UK Operations Coordinator you will be responsible for providing professional pro-active and confidential support on a day-to-day basis to the UK Operations Director and the surrounding team. Liaising with internal and external stakeholders you will become a key member of the executive team.
In this role, organisational skills are a must, you will be managing high level diaries, preparing for company meetings, taking minutes, inbox management, travel arrangements and more. The UK Operations Coordinator will possess excellent communication skills and interpersonal skills being able to work with a range of stakeholders and the wider business.
Key Accountabilities
- Meeting coordination – maintain & manage the executive schedules. Arrange meetings both internally & externally on a local & global level across different time zones, including both conference and virtual calls. etc. Planning, research & preparation of documents in advance for meetings.
- Communications for UK Operations Director – understanding their tone and being able to write and edit emails, features, speech notes, memos, newsletter copy for and from them. Monitor inbox & respond to emails on behalf of UK Operations Director.
- Events – organising & taking responsibility for listening sessions, any offsite meetings/conferences for the wider team who report into MD
- Projects – supporting c-suite and other company directors on various projects retaining to people/finance, keeping them updated on the status of projects. Tracking the project deliverable's & matching them with agreed deadlines.
- Travel – Organise all international and local travel arrangements for the team, including visa requirements, where necessary. Manage the team travel budget including reporting
- Management of Stakeholders - building positive relationships with key internal stakeholders both locally & globally.
