Job description

Are you an experienced Administrator looking for a new role? If so, we are looking for someone to support our friendly and fast-paced Project Management Team based in Oxford.

The Project Management Team provides specialist strategic advice and support to property owners, occupiers, developers and investors; from acquisition to project completion, they work on some of the area's most prestigious projects.

Job Purpose

The main focus of this role is to provide competent and professional administrational support to the Project Management Team. The successful job holder will be highly organised and be able to manage a busy workload with accuracy and pace.

What You'll Be Doing:

(Training and support will be provided)

  • Undertaking administration for the team ensuring the relevant paperwork and client files are kept up to date.
  • Helping to prepare and draft correspondence, reports and schedules, minutes and agendas.
  • Supporting with Partner diary management and general administration including arranging meetings (with refreshments when necessary)
  • Preparing and collating monthly project invoice packs including updating financial trackers and liaison with external parties.
  • Responding to incoming queries and is client centric at all times.
  • Photo and PDF stitching.
  • Organising e-signatures and legal document tracking.
  • Minute/ note taking at meetings, printing and binding of documents and audio/copy typing.
  • Proof reading of schedules, letters and reports and arithmetic checking of certificates and notices.
  • Helping to maintain an efficient filing system.
  • Assisting in proposal/ bid creation often under tight timeframes.
  • Helping to arrange corporate and social events.
  • Carrying out such additional ad-hoc duties as may be reasonably requested from time to time, such as scanning and printing.

About You:

  • Strong attention to detail.
  • Good interpersonal communication skills (both verbal and written) with the ability to build relationships quickly, both internally and externally.
  • Ability to work in a fast-paced team environment
  • Able to work proactively and reactively
  • Effective time management and ability to flexibly reprioritise tasks as required to manage conflicting demands and requirements
  • Client centric.
  • IT Skills – Highly proficient in the use of Word, Excel and Outlook and proficient in PowerPoint
  • 4-9 (A to C) Grade in English and Maths GCSE
