Overview of project/role

Capital adopts one team approach to share resources to achieve project efficiency. The job holder will be responsible to provide effective and professional administrative support to a team to enable effective management of the people, information and other resources in line with their business objectives and to deliver key tasks as required by the directorate.

The work is varied in its nature and requires the job holder to be flexible in their approach. They must be able to manage a number of different demands, be able to prioritise their workload and be able to work across multiple sites as required.

The Support Administrator will be required to be flexible moving to similar Support Administrator roles, throughout the Directorate, to enhance knowledge and skills base where and when required.


Key Accountabilities

  • Ensure the smooth and efficient running of the office and to maintain an excellent level of service to teams and stakeholders by:
    • implementing and managing effective filing systems, carry out printing, photocopying and other admin tasks as required.
    • capture starters, leavers and movers information; ensure the contact register is kept up to date, assets handed back and recycled throughout the Directorate
  • Distribute key documentation by most appropriate methods and meet deadlines as required
  • Input information to, and produce reports from, databases as requested
  • Manage databases and undertake general administrative functions
  • Work collaboratively with other administrators within the Directorate to provide continuous support across the delivery areas and PMO
  • To provide support for organising meetings including the issuing of supporting papers, taking and issuing minutes, and ensuring follow-up actions are undertaken; managing diaries, booking venues and required equipment, making travel and accommodation arrangements.
  • To undertake photocopying, typing and preparation of reporting and presentation material, filing.
  • To use procedures, instructions, guidance, systems and computer packages.
  • To order and manage stocks of office consumables.
  • To book medicals, training and travel amongst other requests

Skills, Knowledge & Experience

Skills

  • Ability to provide support in meetings including preparing supporting papers is essential.
  • Ability to use Microsoft Office including MS Teams, Word, Excel, Outlook, and PowerPoint to intermediate level (e.g. tables, mail merge, pivot tables, animated presentation, etc).
  • Ability to be able to analyse and translate data.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to build effective working relationships with people at all levels across the organisation.

Knowledge

The Support Administrator role is generic across the organisation and as such is embedded in a variety of departments requiring often additional skills set and/or experience. This job description sets out the basic requirements of the role but may be supplemented by an appendix that clarifies in more detail the area of work and responsibilities the jobholder could be involved in.

  • A good level of understanding of how a “professional” office works.
  • Knowledge of Microsoft Office including MS Teams, Word, Excel, Outlook and PowerPoint to intermediate level. (Essential)
  • Knowledge of the TfL organisation (Desirable)

Experience

  • Significant experience of working in an office environment providing administrative support to managerial / professional staff (including an individual manager or a team).
  • Experience of personal responsibility for managing the support activities in an office.
  • Experience of organising effectively to deliver against appropriate objectives.
  • Demonstrable experience of using Microsoft Office including Word, Excel, Outlook, and PowerPoint.
  • Experience of dealing with internal and external business contacts.
  • Experience of effective use of manual and electronic office systems.
  • Experience of working in a team-based projects environment.

Fixed term contract opportunity for 6 months

As a fixed term contractor we can offer you a choice of pension arrangements.
