Job description
Based in our central London Corporate Office, this position will provide a wide range of administrative support to the legal department, specifically supporting SVP, Corporate Counsel, two VPs, Corporate Counsel and a Director, Associate Corporate Counsel. Administrative support would include document management, managing schedules, expense report management and travel arrangements. This position requires a productive self-starter who is co-operative, receptive to challenge, prepared to pitch-in as necessary and above all, has a positive and professional attitude.
Key duties will include:
- Document management including arranging for signature of documents, maintaining filing (electronic and paper) and updating electronic databases
- Managing calendars including travel dates, meetings and conference calls
- Assisting with the preparation, editing and proofreading of various documents and correspondence
- Preparing redlines of agreements, execution versions of documents and collating exhibits
- Assisting to maintain document tracking lists
- Coordinating and setting up meetings, logistics and/or materials as required
- Coordinating various matters and documents with external counsel, other third party service providers and governmental departments
- Arranging all travel requirements, including airline reservations, hotel accommodation, rental cars, etc.
- Managing and processing expenses, including administering expense reports
- Processing/allocating invoices and tracking expenses
- Answering phones, re-directing calls when necessary and handling routine matters without supervision
- Typing, photocopying and distributing correspondence, reports, etc.
- Opening mail, re-directing when necessary; receiving, distributing and sending couriers and faxes.
- Assisting with ordering and maintaining office supplies
