Secretary – Criminal Team - Leicester
Job Overview
This role will be supporting our clients, Reeds Solicitors LLP, with administrative duties and the day to day running of legal cases.
This is a full time permanent post supporting our very experienced team dealing with all types of criminal matters.
Roles and Responsibilities
- Opening new files on the internal case management system & ensuring correct letters and care guides are sent to clients, completing conflict checks on files;
- Answering telephone calls and dealing with queries in a professional and confidential manner, ensuring all messages are passed on accurately to the relevant fee earner;
- Answering door callers in the office;
- Accurately completing fee earners’ dictation as efficiently as possible;
- Saving fee-earners attendance notes, time-recording and expenses on case management system;
- Ensuring all dates are in the diary with the relevant cover;
- When the new court/police rota’s are released ensure they are in the relevant diaries;
- Police station back up rota, making sure all solicitors are aware;
- Undertaking any other follow up actions on files as directed by fee earners;
- Requesting IDPCs and saving evidence as it is served to the relevant file on the case management system;
- Managing legal aid process (sending out letters, collating declarations, matching with files on the system);
- Accepting new case calls from DSCC, ensuring telephone advice is covered;
- Arranging representatives to ensure all Police Station cases are covered;
- Closing files and undertaking the closing checks to ensure compliance is met with LAA contract and Lexcel standard;
- Chasing Police for outcomes and processing letters to clients following replies;
- Ensuring internal monitoring sheets are updated;
- Photocopying or scanning documentation as required;
- Processing incoming and outgoing mail (paper & Email);
- Providing back up support to the general Reeds reception line during periods of staff absence;
- Any other duties as requested by any member of the management team.
Person Specification
- Must have excellent organisational, administrative skills and attention to detail;
- Touch typing skills;
- Ideally have experience using digital dictation equipment;
- Must have confident and clear communication skills, both verbal and written;
- Must be computer literate with experience of using Microsoft Office packages;
- Must be able to multi-task & work well under pressure;
- Be proactive and able to work well without supervision;
Salary
£19,000 - £ 23,000 Dependent on experience
Working hours
9:00am to 5pm, with one hour for lunch Monday - Friday
