Job Description: Experienced Sales Administrator
Position Overview:
We are seeking an experienced Sales Administrator to join our team, working 8:30am to 5pm Monday to Friday. This role is crucial in providing comprehensive administrative support to our sales department, ensuring efficient operations, effective communication, and smooth coordination of sales activities. Responsibilities:
1. Sales Support:
- Provide comprehensive administrative support to the sales team, including preparing sales documentation, contracts, and quotations.
- Collaborate closely with sales representatives to ensure timely and accurate processing of sales orders, including order entry, order confirmations, and invoicing.
- Liaise with various internal departments, such as logistics and finance, to facilitate smooth order fulfillment and delivery.
- Maintain and update customer records and databases, ensuring accuracy and completeness of customer information.
2. Communication and Correspondence:
- Act as a primary point of contact for internal and external inquiries related to sales activities.
- Respond promptly and professionally to customer queries, providing necessary information or directing inquiries to the appropriate team members.
- Prepare and distribute sales-related correspondence, reports, and presentations.
- Assist in the preparation of sales-related materials for meetings, conferences, and trade shows.
3. Sales Data Management and Analysis:
- Collect, compile, and analyse sales data, generating reports, charts, and graphs as required.
- Monitor and track sales performance metrics, such as sales revenue, customer acquisition rates, and conversion rates.
- Identify trends and patterns in sales data, providing insights and recommendations to optimise sales strategies.
- Assist in the development and maintenance of sales forecasting models and tools.
4. Sales Administration and Process Improvement:
- Streamline and improve sales administration processes and procedures to enhance efficiency and effectiveness.
- Maintain accurate sales documentation, records, and filing systems.
- Support the implementation and utilisation of sales tools and systems, such as CRM software.
- Contribute to the development and documentation of sales-related policies and procedures.
5. Team Collaboration and Support:
- Work closely and collaboratively with the sales team, providing administrative support and acting as a reliable resource.
- Foster a positive and friendly work environment by promoting teamwork, open communication, and mutual respect.
- Coordinate sales-related meetings, conferences, and events, including scheduling, agenda preparation, and logistics.
- Build and maintain strong working relationships with colleagues and stakeholders.
Qualifications:
- Proven experience (3 years) as a Sales Administrator or in a similar sales support role.
- Strong knowledge of sales administration processes, including order management, sales reporting, and CRM systems.
- Excellent organisational and time management skills, with the ability to multitask and prioritise effectively.
- Proficiency in using MS Office applications (Word, Excel, PowerPoint) and CRM software.
- Proficiency in using Sage.
- Analytical mindset with the ability to interpret and present sales data.
- Exceptional attention to detail and accuracy.
- Strong communication skills, both written and verbal.
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
- Proactive problem-solving abilities and a commitment to continuous improvement.
- Bachelor's degree in Business Administration or a related field is preferred.
