Job Overview

Successful candidate will assume the duty of clerical and administrative support to optimize workflow procedures in the office, will assist executive and office staff by supporting them being the first point contact for all queries or request and planning and distributing information.

Responsibilities

  • To act as the face of the organization, as the first point of contact welcoming visitors
  • Answer phone calls and redirect them when necessary.
  • Reporting maintenance issues. Following up any outstanding issues with the appropriate people. i.e., other maintenance staffs
  • Manage meeting room bookings and ensure the rooms are kept clean, tidy and stocked.
  • Assist with meeting room arrangements including conference call details, set up of meetings via Zoom, Teams and organizing catering where required.
  • General tidying of reception, filing water machine with cups, formatting & typing letters.
  • Assist case workers with file opening/closing.
  • Handling and responding to all correspondence including calls, emails and letters.
  • Liaising with internal departments and supporting external parties such as clients or third-party providers.
  • Scheduling appointments and organizing diary entries.
  • Making travel arrangements if necessary
  • Planning and assisting with conferences, workshops, seminars, and other events.
  • Taking notes at meetings, preparing the minutes, and subsequently distributing to all participants.
  • Support and completion of regular reports and maintaining filing system.
  • Check frequently the levels of office supplies and place appropriate orders and various and hoc duties from time to time.

Requirements

. Fluent English Speaker

· Previous Receptionist / Front of House experience in a busy corporate environment.

· A fast learner with the ability to work on own initiative.

· Ability to quickly build good relationships with Managers, staff and external stakeholders.

· A confident communicator with good relationships with good written and oral skills

· Excellent internal and external customer service skills

· Outstanding organizational and prioritizations skills with good attention to detail

· Positive and energetic team player

· Well presented, punctual and reliable

· A can-do attitude

· Good IT (Word, Excel, Power Point, Teams)

Job Type: Full-time

Salary: £22,000.00-£24,000.00 per year
