What You Will Achieve
To support a dynamic Global Rare Disease Marketing team, working with colleagues from around the world on several different Rare Disease brands, with an ability to work under general direction or independently with minimal or no direct supervision. Provide a range of administrative, budgetary and project management support to the team. Responsibilities include raising POs and managing budgets, managing logistics for internal and external meetings, supporting team members with administrative tasks, and managing some projects. Should be able to multi-task in a variety of situations, take initiative and work effectively in an international environment
As part of the administrative support team, you are recognized as an advisor to other colleagues in your group due to your comprehensive knowledge and skills in your area and understanding of the larger organization. You are innovative in identifying solutions to problems by taking a broader perspective that benefits the organization. You encourage collaboration and communication within the team and across groups to influence desired outcomes. You train others and provide guidance to the team that helps us achieve our goal of creating breakthroughs that change patients’ lives.
How You Will Achieve It
  • Manage global budget processes, including the raising of POs, coordinating with vendors and tracking of budgets
  • Organising logistics for Congresses and internal meetings, along with further meeting support (including the management of relevant Pfizer processes)
  • Take the lead on organizing monthly virtual meeting series with country colleagues, involving the organizing of agendas, follow up with presenters and all other logistics
  • Support or take the lead on specific marketing projects
  • Organise offsite meetings
  • Regular engagement with countries to collect or consolidate information needed to support projects and ways of working
  • Regularly participate in and lead in problem solving and ad hoc projects to assist the effectiveness of the team; be an expert in Pfizer process and policy (e.g. conference organisation, compliance, FCPA, SOPs) globally, given the virtual, decentralized nature of this team and its remit.
  • Independently plans and executes work to meet assigned objectives.
  • Takes personal accountability for quality of own work that impacts the team and understands impacts of actions. Ensures accuracy of work and uses judgment to determine work methods in different situations.
  • Integrates into team culture and participates as desired in team culture activities and team-building events.
  • Proactively coordinating meetings, maintaining diary invites and efficiently resolving conflicts and routine issues
  • Contribute ideas, fostering pace and enthusiasm, negotiating timely execution of work, and developing self to maximise personal contribution to projects whilst maintaining high standards.
  • Plan, organise and prioritise own work daily to meet deadlines and plan ahead to meet upcoming / cyclical deadlines.
  • Act as a source of information around the company, the industry, contact points, processes, policies or general advice and problem-solving solutions, providing relevant information/guidance and support to other colleagues as required on behalf of the team
  • Ongoing maintenance of the OneDrive and TEAMS systems to ensure content remains a well-managed resource.
  • Supporting the team with inputting and the upkeep of PT&E Expense Reporting
Qualifications
Must-Have
  • High School Diploma or GED
  • Demonstrable experience in a similar role and field
  • Demonstrated planning and organising skills
  • Demonstrated administrative experience with an ability to carry out all office functions proficiently, and to complete quality work on a timely basis
  • Excellent attention to detail and interpersonal skills
  • Excellent judgment as well as the ability to work with confidential documents and information
  • Must be independent, proactive, and self-motivated with excellent attention to detail
  • Demonstrated positive “can do” attitude with a mature outlook
  • Must be able to work well in team environments (with experience of working with virtual/remote colleagues), and be productive when working independently with minimal supervision
  • Ability to manage projects and to co-ordinate the activities of others
  • Proficiency in Microsoft Office Suite required, especially PowerPoint, Excel, Word, and other features
Nice-to-Have
  • Bachelor's Degree
  • Prior experience as an Administrative Assistant supporting executive leadership in a global organization
  • Knowledge of the pharmaceutical industry and healthcare environment
