Job description
We are looking for an experienced, confident, and skilled individual to fulfil this critical and exciting role.
Whilst being a part of the Thames Major Projects Hub this role will be spending the majority of its time working closely with the River Thames Scheme projects leadership team. The River Thames Scheme (RTS) is a £500m major project reducing flood risk, enhancing the environment, and encouraging economic growth and is being delivered in partnership with Surrey County Council.

The key duties and responsibilities:
  • Manage the planning, delivery and record keeping for inclusive and effective RTS Leadership and Governance meetings.
  • Commission and coordinate written and verbal briefings for visits, events, speeches, internal and external meetings.
  • Manage correspondence and requests for information.
  • Provide technical leadership to a small team of Project Support Officers providing administrative support to the Project Director.
Key tasks:
  • Prepare agendas for all Governance boards
  • Identify, prepare, and compile necessary materials ahead of time to ensure that the RTS Leadership and Governance meetings have appropriate information for meetings, reports, presentations, and events in the calendar.
  • Supervise the management of calendars for Project Director, Project Executive and PMO Lead to ensure they are prepared for activities, meetings, and events.
  • Organise quarterly Town Hall events.
  • Manage agenda and logistics of complex meetings and events

Responding to incidents is a central part of what we do. You will be required to have an incident role and make yourself available to respond to incidents or provide business continuity support during an incident. This may attract an additional payment and full training and alternative working arrangements will be available to support you with your incident role.
The team
The role sits within the Thames Area Major Projects Hub. This warm and welcoming team is supporting excellence in major project delivery in the Thames area. Currently we are providing specialist skills and support to the Thames Valley Flood Scheme, Oxford Flood Alleviation Scheme and The River Thames Scheme. We are a team of specialists in communications, engagement, funding, benefits, planning, assurance, and governance.
Experience/skills required
  • Being able to manage effective meetings – from pre-meeting preparations and agenda setting, through to meeting logistics, ensuring accurate minutes are taken and recorded and that post meeting actions are tracked and completed.
  • An ability to prioritise a busy workload and maintain excellent attention to detail.
  • Excellent written and verbal communication skills.
  • A quick learner, able to deliver high quality work to deadlines and adapt to changing priorities.
  • Someone self-motivated, who works well within a team environment or under their own initiative.
  • Someone comfortable working with senior leaders, operating with discretion and experience of handling sensitive information.
Contact and additional information
Travel to offices and locations within the project and surrounding areas will be required for co-location days and meetings. The River Thames Scheme project team currently co-locate in Reading (Tuesday), London (Wednesday) and Reigate (Thursday). Whilst attendance is not required at all locations on all day’s frequent travel is required. As this role will also be supporting the delivery of site visits a full valid driving license is essential.
