The Center for Global Development (CGD) is an independent, non-partisan, non-profit policy research organisation in Washington, DC and London, UK (CGD Europe) that focuses on the issues and institutions that are critical to inclusive development. CGD Europe seeks a full-time Programme Coordinator for its European Development Policy and Leadership Programme (Europe Programme) and Special Assistant to the Managing Director, Europe, based in London. The Programme Coordinator and Special Assistant will report and provide high quality administrative and programmatic management support to Catarina Afonso dos Santos, but will also work closely with the two co-Directors Mikaela Gavas and Ian Mitchell, as well as other CGD associates and fellows. The post-holder will also perform a range of support functions to ensure that Mikaela Gavas, Managing Director, Europe, can effectively meet the organisation’s programmatic and strategic goals.

The successful candidate will have strong grant and project management, organisational, administrative, and writing skills, plus an interest in international development and ability to communicate well with partners. The incumbent must be able to exercise discretion, good judgment, and significant initiative.

Responsibilities include:

Programme management

  • Supporting the Senior Programme Manager on grant management, including tracking progress of outputs, deliverables and results, and tracking expenditure and processing expenses for the Europe programme.
  • Setting up internal milestones and monitoring project deliverables against contractual requirements, namely on Salesforce.
  • Contributing to the production of narrative and financial reports to donors and supporting the preparation of grant proposals, as necessary.
  • Managing shared programme folders and ensuring programme knowledge is easily accessible.
  • Supporting the Senior Programme Manager in drafting contract specifications and carrying out due diligence on partners in collaboration with colleagues in CGD Europe’s Finance and Operations Team.

Communication and events

  • Assisting with communications outputs and development of products, events and materials.
  • Liaising and maintaining relationships with internal and external stakeholders.
  • Performing other duties as necessary in support of the team.

Administrative support to the Managing Director, Europe

Providing confidential and high-level administrative support to the Managing Director, including:

  • Managing and maintaining the MD’s busy calendar.
  • Facilitating the MD’s accessibility and open lines of communication with staff.
  • Scheduling meetings, telephone conferences and appointments for the MD.
  • Manage various in-house meeting processes and agendas.
  • Attend management meetings, coordinate agendas, take notes and ensure timely and appropriate follow up.
  • Prepare travel arrangements (domestic and international). Creates detailed itineraries and instructions to manage logistics, secures travel visas and manages travel expenses and reimbursements.
  • Gather, summarise, and prioritise information needed by the MD to make decisions and respond to requests.

The successful candidate will have the following qualifications and skills:

  • Undergraduate degree in a related field required.
  • Professional experience in supporting the organisation of large, complex programmes, ideally in international development cooperation.
  • Experience of producing donor narrative and financial reports.
  • Proven ability to successfully manage multiple and changing priorities in a fast-paced, dynamic environment while exercising good judgement.
  • Familiarity and interest in global development.
  • Poise, confidence and excellent organisational skills with proven ability to manage competing priorities and a wide range of stakeholders.
  • Outstanding oral and written communication. Proficiency in English, a second European language would be desirable.
  • Strong experience with Microsoft Office/365, including MS Excel and PowerPoint. Experience with Salesforce/database management desirable.
  • Attention to detail is a necessity.
  • Confidence and can-do attitude. Ability to advance projects with hands-off supervision.
  • Comfort working independently, with small groups, and with senior staff.
  • Good humour and collegiality essential.
  • Must have the right to live and work in the UK.

Staff have returned to the office and it is the expectation that the successful candidate will be within commutable distance to the offices based in SW1. The successful candidate will need to be in the office a minimum of two days a week.
