Job Description


THE ROLE

As a Program Analyst at ASOS, you will be responsible for supporting the Commercial Operations Director and Program Management Lead to stand up and run a PMO with the primary aim to ensure the delivery of the budget.

The Program Analyst will assist the Program Management Lead and Commercial Operations Director in delivering the weekly cadence, managing Wave (PMO tool), and preparing program communications. You will play a key role in ensuring that projects and programmes deliver the required business outcomes and help to monitor and report on progress against the annual budget target.

You will be a fundamental part of the wider ASOS team and help contribute to the success of ASOS.

You will be…

  • Producing, analysing and interpreting a range of data in support of the PMO and ensuring that it has a high standard of integrity and accuracy.


  • Supporting Workstream Leader (WSL) meetings, including
    • Maintain, review and download trackers, issue meeting materials, brief Commercial Operations Director and be able to clearly distil the key messages and pull out the necessary supporting data/evidence.
    • Ownership of weekly progress/update meetings. This would include preparing VC/dial in, running the presentation, track, consolidate, and distribute all action items from meeting.
    • Follow up and progress tracking - Send out action trackers and update actions in Wave (or relevant system), follow up with team on actions and ensure they are executed.
    • Creating plans for new initiatives, capturing relevant owners, milestones and opportunities
  • Working with the Finance Business Partners to validate plans and phasing
  • Collaborating with project stakeholders across ASOS to provide support to ensure the delivery of the project actions are completed within the agreed scope, timeframes and budget.
  • Identify and escalate any potential risks to project deliverables, flagging these early to the relevant stakeholders.
  • Owning Wave management
    • Subject matter expert for the PMO and will manage Wave workspace questions/requests and serve as POC for all Wave enquiries
    • Manage Wave user management platform and Wave workspace (e.g. reassigns initiatives as employees leave the organization)
  • Coordinating training for program participants
    • Coordinate regional new user training delivery to initiate them to business rules, Wave processes, and new features
    • Create content to support education of new features, business rules, processes and ensure that learning is embedded.
    • Organise calendar invitations, upload training materials to proper platforms, maintain and track training attendance
  • Communicating program updates
    • Draft and finalize official program communication including KPIs for initiative owners (IOs) and Wave updates
    • Produce content for weekly WSL call and the biweekly tactical communication to IOs
    • Maintain program updates and relevant material, serving as main POC for communication questions/requests


Qualifications

  • Experience of co-ordinating multiple projects, with various stakeholders effectively and to tight timeframes and budgets.
  • Ability to analyse large data sets, spot trends and reconcile data with a logical approach
  • Displays sense of urgency, focused on achievement of deliverables to the highest quality in a pressured environment
  • Future looking approach, identifies and communicates issues early and is pro-active in bringing pragmatic, commercial solutions to the table.
  • Demonstrable ability to grasp complex systems and business processes
  • Demonstrable ability to work in a fast-paced, dynamic work environment involving multiple platforms
  • Experience of supporting multiple stakeholders; keeping them to task and up to date with project progress
  • Ability to communicate well with roles of all levels
  • Expertise in Microsoft Office applications (i.e., Excel, PowerPoint)
  • Passion for and attention to detail
  • Pragmatic problem-solver (80/20) and solution orientated in approach.
