Personal Assistant to Director
Job Description:
Pacific are looking for a personal assistant/general assistant for the Divisional Director of the Passive Protection Department. This role is entirely office based, at our Ashford office. Candidates will be heavily involved in the Director's work in the department and will form the go-between the Director and the other managers, filtering information down to the operational staff for the benefit of the department.
The department is currently going through a period of intense growth, warranting personal assistance for the divisional director. Candidates need to be well organised and flexible in order to fulfil the role to its full potential.
Roles and responsibilities:
- Daily check-ins with the Director (mostly via telephone, Microsoft teams and email as the Director is not based at the same working address) where notes will be taken on what is high priority for the rest of the team.
- Entering the Director's information from sales, to follow up calls and to do lists on the relevant software programs
- Answering emails for the Director and prioritising matters, bringing these to the Director.
- Scheduling appointments with clients and wherever needed coordinating travel arrangements.
- Assisting in the preparation of presentations and quotations for clients
- Managing the departments CRM system on behalf of the Director to particular processes Pacific have in place.
- Providing general administrative assistance for the Director
- Managing the diaries of the Director whilst also collaborating with the diaries of the rest of the department.
- There may be occasion you will need to attend meetings with the Director at various locations (travel will be paid for).
Requirements:
- Previous experience in a similar role is preferred. Roles such as office manager, operations manager, or personal assistant are all relatable to this position.
- A minimum of 2 years general administrative experience.
- Ability to work independently on tasks set to you in a fast paced envrionment, with lots of different services being provided to the client
- Ability to communicate professionally both verbally and in writing.
- A team player, as you will be the go betweeen all levels of the department.
- Excellent Microsoft office skills
- We will train you on all of the software we use, however it is preferred if you have experience in a CRM system (we use Pipedrive) and a field service planning application (we use Protean).
- Strong English and written English skills required.

Salary: £40,000.00 per year
