With the pandemic accelerating the pace of digitalization and changing how we work, Personal Assistants (PAs) are vital as we work to make Shell Legal simpler and more efficient. You will increase the efficiency and effectiveness of Shell Legal’s senior managers in the UK – as one of a team, each supporting ~3-4 senior manager positions – while also ensuring other Legal staff are equipped to be effectively self-sufficient You will be working with other PAs/Executive Assistants to deliver the administration of Shell Legal in London working towards the shared goals of the department.
What’s the role?
As a PA in Shell Legal, you’ll be a key member of a team providing administrative support for senior managers in Shell Legal while supporting coaching other Shell Legal staff to be effectively self-sufficient. You’ll thrive on providing excellent administrative support while demonstrating a growth mindset as we look to make Legal simpler and more efficient. More specifically, you will:
Provide day-to-day support for ~3-4 senior manager roles (usually Associate General Counsels or equivalent) which may include the following tasks: travel bookings, expenses, calendar/ email management, organizing meetings/ workshops (taking minutes when required), office management/ logistics (IT/visitors/catering), document production, printing/scanning, and binding.
Work as one of a team of PAs and Executive Assistants (EAs) in Legal in London providing cover for colleagues as required and sharing best practice.
Assist with the organization of transaction closings and handling local documentation (archiving/real estate deeds management) for lawyers in the team.
Assist with office/team management (including courier bookings, monitoring incoming post, maintaining distribution/project lists).
Provide team and community support by organizing events and celebrations.
Ensure effective team onboarding/offboarding.
An additional and important aspect of the role will be to support Legal staff in being effectively self-sufficient for basic administrative tasks and in effectively using available offshore support. As well as coaching Legal staff you will develop and maintain – within the EA/PA team – clear location-specific guides/checklists for basic administrative tasks (travel bookings, expenses, arranging meetings/booking rooms and IT procurement).

Are an effective team player.
Are flexible, pro-active, able to multi-task and prioritize, with the confidence and initiative to coordinate support for multiple senior managers promptly and efficiently.
Have excellent verbal and written communication skills with good attention to detail.
Are confident with IT: accomplished in using current tools (the full suite of Office 365 applications/ SharePoint/) and confident in quickly mastering new apps and processes used by Shell and Shell Legal.

Are enthusiastic and committed to delivering in the best way you can.
In addition, you will have the discipline and confidence to support the implementation of increased administrative self-sufficiency for Legal staff: coaching self-sufficiency (rather than stepping in).
