Job purpose
The purpose of the Facility Manager is managing the UK Facility Department and oversee the general operation of all ALTEN premises across the UK.
Main duties and responsibilities
Oversee and support all administrative duties in the office and ensure that the office is operating smoothly to achieve maximum efficiency
Develop office policies and procedures, and ensure they are implemented appropriately
Identify opportunities for process and office management improvements, and design and implement new corporate systems related to Facility Management.
Physical Security / Visitor Management – Ensure correct policies around physical security of all premises, right tools, and systems in place to comply with relevant standards and insurance requirements. Ensures that team is reviewing visitor & meeting bookings and that the requested facilities are arranged, visitors are signed in, and that a welcome is provided for all visitors as soon as they step into the offices
Manages capacity needs and new site deployment to meet business requirements, coordination with contractors to ensure correct and timely refurbishment, vendors for equipment, IT infrastructure, and all aspects to ensure a smooth implementation.
Develops and drives the visual identity and drives projects to support office layout aligned with corporate requirements for Alten. Coordinates continuously with Corporate teams to ensure that directions is aligned.
Manage offices cost in line with budgets and seeks to improve this through yearly savings through tendering on services or other cost related savings initiatives.
Day to day management of safety - implementing effective measures to control fire practises, first aid, building security, health and environmental risks in the office on a day-to-day basis, under the supervision of our Health and Safety team
Ensure policies are in place to provide new starters with lanyards and security passes – including taking pictures and printing passes using hardware/software provided
Managing of key vendors specifically the Facility Management company, cleaning company and key other vendors to ensure that services are performed in accordance with contracts and continuously seeks to optimise working engagements.
Support with company events and any catering requirements and ensures that correct vendors are in place, procedures are followed, and that business needs are always meet.
Support other sites on a need to basis (during vacation and sickness) and coordinates capacity in team to ensure service level in all office are maintained without business disruption.
Integrates new companies acquired into the overall Facilities team and ensures correct transition of all facility related processes.
Manages team and ensures progressive development through career management. Continuously focus on organisational development through anticipation of future needs and manages recruiting related topics.
Travel to all UK sites as necessary to perform duties and to support team as needed. Travel also includes regular visits to Paris to liaison with Corporate stakeholders.

Salary: £50,000.00-£60,000.00 per year
