PA to Divisional Managing Director
Competitive Salary, hybrid working available, full time
We are currently looking to recruit a Personal Assistant to provide comprehensive and proactive support to the Divisional Managing Director, and to also support the wider Home Counties regional Senior Management Team.
Key responsibilities of a Personal Assistant:
- Proactive diary management: being able to identify and understand priorities to effectively maintain and update diaries as appropriate (using Microsoft Outlook)
- Effective e-mail management: establish, agree and maintain a system that best supports the DMD
- Comprehensive and proactive business support: able to manage, prioritise and undertake diverse activities in a positive and flexible way (e.g. arranging travel plans, managing calls, setting up / coordinating meetings / conferences, dealing with general queries and correspondence, minute taking)
- Creation and management of key reports and processes: collate appropriate information and create agreed reports / summaries for the leadership team to support areas such as negotiator leagues, income reports, branch review data, KPI performance, expense reports etc.
- Coordinate and prepare for relevant key meetings and events: create appropriate packs, presentations, materials, agendas etc (using PowerPoint, Word or other software when appropriate.
- Support and organise regional initiatives and social events and distributing communications to the business unit.
- Acts as an ambassador for the wider business unit and Countrywide: a role model for the Countrywide values, building strong and effective working relationships with all internal and external stakeholders
- Undertake ad-hoc tasks as required, be a proactive source of help to the team and keep activity on track, carrying out all tasks as required, such as managing stationary ordering, car allocations in collaboration with Fleet etc.
- Regular liaison with internal departments such as HR, IT, Fleet and Payroll.
Skills and experience required to be a successful Personal Assistant
- Experience in working in a fast-paced, customer centric, complex and changing environment, using a high level of organisation, prioritisation, communication and relationship skills, to provide comprehensive and proactive PA support to the Managing Director (and their leadership team).
- Excellent organisation, prioritisation and time management skills with a strong attention to detail
- Ability to work proactively and comfortably - excited at using your own initiative in a fast-paced environment where priorities can change regularly
- Excellent communication, influencing and relationship skills, with a strong customer centric approach (comfortable working with colleagues at all levels within the organisation)
- Fully proficient in all key software packages e.g. Word, Excel, PowerPoint and confident with all aspects Microsoft Outlook (or similar email system)
- High levels of energy, drive, enthusiasm with a passion for developing yourself and being an active and supportive member of a high performing team
Other helpful things to know:
- This role reports to the Divisional Managing Director
- Remote working at times with a local Base in Surrey/Kent
- You will have close internal working relationships with the wider Leadership Team, Finance Business Partner, all PA`s and the wider BU leadership teams across the Group.
