Responsibilities:
Service Delivery
Email (inbox management when Directors are travelling)
Diary and travel management
Supporting the wider Supply Chain team, including the TWL, Procurement and TWL Management team
Manging meeting rooms, visitors and associated requirements that arise at TW Logistics and TWL
Booking accommodation, meeting rooms and venues, providing refreshments and arranging hospitality as necessary, including supplier events
Accessing and reviewing all correspondence including e-mails, sorting, prioritising and replying as necessary.
Diary and travel management, for the three Directors.
Preparing reports, general correspondence, meeting agendas, minute taking, monitoring actions and producing presentations.
Interaction and liaison with internal and external customers as necessary.
Interaction with and assistance to the BUMTs and Head Office Functions as appropriate.
Implementing and maintaining procedures and processes to improve service delivery to all key contacts.
Attend occasional off site meetings to take minutes, notes and actions.
Understanding and optimising the use of IT in delivering the services outlined above.
Keeping up to date with the evolving technical competencies and expertise required to maintain the required level of skill in the discharge of professional duties.
Action HR procedures and follow them up afterwards. Taking care of new starters and leavers, preparing offer packs and references. Liaising with line managers to ensure a smooth entry/departure from the business.
Maintain all staff personnel files in accordance with current HR procedures to include the following:
Monthly payroll updates (add new starters/leavers to payroll system/update fares allowances for site-based staff/monitor maternity/paternity leave/statutory recoveries/student loans/driving offences (speeding/parking fines) plus any other ad-hoc payroll requirements which may arise.
Scanning HR Files and all HR Documents onto individual employees’ electronic files on the MyHR Payroll system.
Offer letters/employment contracts / new starter information packs.
Absence Management – manage sickness on a weekly basis using the internal system and external BUPA system. Monitor and report all instances of staff absence – use the BUPA system to monitor trends and notify line managers where appropriate. Liaising with departmental secretaries as and when required to follow up on required paperwork
Attend when required any disciplinary / grievance meetings as a note taker for HR/line manager.
Maintain staff and directors’ holiday charts
Company cars – maintain records for all company car users, order replacement/hire vehicles, maintain P46 tax records for Company car users.

To deliver an efficient, customer focused and professional PA service to the Group logistics & Supply Chain Director team
To support the Group Procurement Director, and Logistics Director on a daily basis. Duties will include general correspondence, emails, telephone calls, diary and travel management and system administration, as well as interacting and liaising with P.A. for the Group Manufacturing & Supply Chain Director, the Group Management Team (GMT) members, regional M.D.s, Functional Heads and others as required.
Work with the PA to the Group Logistics & Supply Chain Director and provide sickness and holiday cover.
