We are currently in search of a highly organised and proactive individual to join our team as an Office Manager / Executive Assistant. In this role, you will provide crucial support to the Managing Director and our friendly team of 20 based in Battersea. Responsibilities:
Diary and Meeting Management:
- Efficiently manage the Managing Director's diary, scheduling meetings, appointments, and bookings.
- Act as the formal point of contact for calls and emails between the Managing Director and internal/external stakeholders.
- Screen and prioritize the Managing Director's emails, ensuring urgent matters are addressed promptly.
Reporting and Documentation:
- Prepare reports for the Managing Director and Senior Management, ensuring accuracy and timely delivery.
- Take meeting minutes and distribute them to relevant participants.
Ad Hoc Duties and Research:
- Assist the Managing Director and other Senior Managers with any ad hoc tasks as required.
- Conduct research on ideas and projects when necessary, providing comprehensive information and recommendations.
General Office Management:
- Maintain the OneDrive system and ensure proper organization of files and documents.
- Oversee the day-to-day running of the office, ensuring a productive and efficient work environment.
- Order office supplies, including stationery, cleaning products, water, coffee, etc.
- Manage the ordering process for new IT equipment and maintain an inventory of existing equipment.
- Handle the Office Credit Card and reconcile expenses.
- Sort and process software requests from employees.
- Monitor office condition and arrange necessary repairs or maintenance.
- Manage office utilities and facilities
- Ensure H&S standards are kept high.
- Staff Support and HR Coordination
Qualifications and Skills:
- Previous experience in an office management or executive assistant role.
- Strong verbal and written communication skills.
- Proficient in using office software and systems (e.g., Microsoft Office, OneDrive).
- Proactive and self-motivated with the ability to work independently.
- Strong problem-solving skills and the ability to handle confidential information.
- Drivers license ideally but don't worry if you don't have one.
Job Types: Full-time, Permanent
Salary: £30,000.00-£40,000.00 per year
