An exciting opportunity has arisen to join the Human Resources (HR) Team based at SPS Headquarters in Edinburgh as you will be involved in a range of HR activities across the Scottish Prison Service. If you enjoy working in a fast-paced environment and like to be kept busy, working across a variety of different tasks and activities, then this could be the role for you!

You do not need to have prior HR experience to excel in this role. Instead, we are looking to recruit someone with transferable skills and a positive attitude, to learn in role and deliver a first class service.

The purpose of the role is to provide comprehensive administration support within the HR Team. The focus will be on providing excellent customer service whilst positively contributing towards the recruitment processes, absence management, grievance and conduct as well as being involved with corporate workloads. The post holder will have strong IT skills and will be responsible for updating HR records as well as responding to and following up on all HR specific enquires and providing advice and guidance within the confines of SPS policies and procedures.

Overall, you will have a positive and valuable contribution to play in supporting the HR Team and colleagues within the Scottish Prison Service.
Responsibilities

Maintain effective and efficient electronic and paper based filing and data recording systems, ensuring compliance with Records Management Policy, Data Protection Legislation and SPS guidelines.


Respond to and follow up HR specific enquiries sensitively, timeously and professionally, ensuring accurate and impartial information and advice falls within the confines of relevant SPS policies and legislation.


Provide an effective and efficient administration service, ensuring communications and documentation are actioned appropriately and, where necessary, passed to the relevant third party for ongoing action.


Contribute to the development of an effective HR service through participation in functional and departmental forward planning activities and projects, as required.


Continuous development of personal knowledge and understanding of HR related issues, policies and legislation.


Prepare management information on HR related matters.

Person Specification

SPS recruitment and selection practice is based on the fundamentals of our Behavioural Competency Framework. This identifies behaviours and standards required both of applicants seeking to join us, and our staff in their respective roles. Assessment of specific behaviours, of which there are twelve, will be determined by the role you are applying for. Whilst it is unlikely you will be assessed on all of them , you will be assessed on these identified as key to role.

Qualifications Requirements
Minimum of five National 5 (or equivalent) qualifications including English and Mathematics or equivalent qualifications or relevant experience. ESSENTIAL
Achieved the CIPD Level 3 Certificate in HR Practice, or equivalent, or willing to work towards. ESSENTIAL
Experience Requirements

Competent and experienced in all aspects of administration. ESSENTIAL


Able to use a range of technology to communicate information, manage data and collaborate with others to improve the delivery of services. ESSENTIAL


Experience of working within a HR environment. DESIRABLE


Knowledge Skills Requirements

Well-developed communication skills at all organisational levels, across a range of media. ESSENTIAL


Effective decision making skills with the ability to effectively prioritise workload to meet departmental and organisational deadlines. ESSENTIAL


Ability to analyse, interpret and report on a range of information. ESSENTIAL


Knowledge and understanding of relevant legislation including Data Protection Legislation, Equality & Diversity Legislation and Employment Legislation and Acts. ESSENTIAL
