We are looking for a dedicated, motivated and passionate individual to proudly represent TCS as a Office/Financial assistant for our agency services.
As a Office and Financial assistant, you will play an integral part in managing the daily communications of our site. You must be extremely personable as you will be liaising with the entire team to ensure all our valued Clients requirements are met. This role is fast paced and requires someone truly dedicated and able to remain positive and professional when working under pressure.
Some of the main duties include, but not limited to:
Office
∙Overseeing clerical tasks, such as sorting and sending mail.
∙Keeping an inventory of office supplies and ordering new materials as needed.
∙Maintaining files.
∙Welcoming visitors to your office.
∙Answering phone calls.
∙Taking and delivering messages.
Accounts
∙Reconcile invoices and identify discrepancies.
∙Create and update expense reports.
∙Process reimbursement forms.
∙Prepare bank deposits.
∙Enter financial transactions into internal databases.
∙Check spreadsheets for accuracy.
∙Maintain digital and physical financial records.
Payroll
∙Process new hire paperwork
∙Enter payroll information into our software
∙Garnish wages for taxes and benefits
∙Fulfil other clerical roles as needed
∙Create reports on paycheque disbursement and other payroll activities
Admin
∙Answer and direct phone calls.
∙Organize and schedule appointments.
∙Plan meetings and take detailed minutes.
∙Write and distribute email, correspondence memos, letters and forms.
∙Assist in the preparation of regularly scheduled reports.
∙Develop and maintain a filing system.
You will be assisting with some of this tasks, working alongside with our Directors to ensure the smooth run of the business.
Candidates must have at least 6 months- 1 year experience on a similar position and be confident communicating/liaising with different teams within our business.
Applicants must have good English skills and hold a valid driving licence.
