Job description
Provide comprehensive administration, clerical and audio typing support to Consultant and their teams. Work in a team based secretarial service providing support for each other and ensuring continuity of the service. Collect, distribute or open incoming post and responsible for the sending out of all internal and external postal correspondence appropriately. Audio type all clinical letters and other correspondence as required by the Consultant and team, ensuring layout, spelling, grammar and punctuation is consistent.
Assess all enquiries, deal with effectively, and respond appropriately. Maintain a filing system that facilitates the effective running of the department. Attend meetings as requested. Organise own work schedule, adapt the schedule as required to meet commitments to others within the agreed timescales and, where this is not achievable, give notification promptly with reasons to line manager.
Provide support to other members of the secretarial team and cross-over during periods of annual or sick leave as required. File investigation results in appropriate health records via DartPortal. Ordering of stationery where appropriate. Manage patient records appropriately, ensuring an up to date record is maintained of all case notes returned from the wards and clinics and all case notes dispatched to other departments or hospitals.
Ensure case notes are returned to the Medial Records Department at the earliest opportunity.
