Job description

The Office Administrator is a part time / permanent role that will hold responsibilities for Administration, Accommodation and Welfare, and will oversee the administration tasks and accommodation provision for a busy language school. We currently require a minimum of 20 hours per week. Duties will be wide ranging and cover the following, to be conducted weekly:

1) Accommodation

a. Booking students into homestays.

b. Visit new and existing homestays.

c. Keep records up to date.

2) Maintain student files, including ID’s and contact numbers / address / test results

3) Maintain student database, including attendance records for teachers.

4) Student Welfare, including ID cards, excursions and certificates.

5) Update and maintain British Council Records (e.g. fire records etc)

6) Help maintain school and teacher support.

The majority of students are over the age of 18. However the school does offer lessons to 16/17 year old students, all staff members will be expected to pass an Enhanced DBS check. For permanent staff the school will arrange this check, for temporary staff we expect a valid certificate within 1 year. Safeguarding training will be provided to all staff members. With all the above points, we require a pro-active approach. The Office Administrator should be able to call homestay’s and book appointments using own initiative.

Normal hours of work:

Your normal hours of work are to be agreed in advance and will vary, set over times of between 8.30am to 5.30pm. Hours and shifts to be agreed weekly. Preferred hours 9.30am to 2.30pm Monday to Friday. Hourly rate of £11 to £12 is offered.
