We are a small Structural Engineering Consultancy based within the Heart of the Country Village close to Lichfield
We are currently seeking a responsible part time Office Administrator to join us. As Administrator you will be required to carry out a range of organisation and clerical tasks such as arranging meetings, preparation and issue of invoices, typing out reports and photographic manipulation into reports, typing letters, answering phone calls.
As part of the job role you will be required to work with spreadsheets which have project databases, fee details etc. You will also be required to calculate figures for invoices, vat etc.
Therefore being competent calculating VAT, and costs summaries is essential, hence an understanding in mathematics is required.
Experience in Sage is not essential but would be an advantage, importantly a willingness to learn to use Sage software is a must.
Proficiency in office software such as MS Excel, Outlook, and Word is essential to carry out the role, as is a basic understanding of computers, for file retrieval and saving of emails and completed projects is required.
While previous experience as a Secretary or Administrative Assistant is ideal, we are also open to employing exceptional candidates who possess the necessary skills.
Ideally the candidate for this position should possess excellent communication skills, and accuracy in their work.
Additionally, they will be expected to contribute to maintaining our office policies and procedures.
Responsibilities:
- Efficiently answer and direct phone calls to the appropriate individuals.
- Type letters, emails, reports and any other office documents required.
- Maintain and update the filing system to ensure easy accessibility of documents.
- maintain project lists, invoice lists paid and outstanding.
- Chase outstanding payments.
- summarising bank statements and light bookkeeping type duties
- assisting with vat returns
- Order office supplies.
Requirements:
- Previous experience as a secretary/ office admin administrator is ideal but not essential.
- Willingness to learn is essential.
- Reasonable and accurate competence with basic maths is essential
- References must be provided.
- Knowledge of office equipment is desirable.
- Excellent written and verbal communication skills.
- Minimum of Mathematics GCSE Grade C or higher or equivalent
- Minimum of English Language GCSE Grade C or higher or equivalent

£12.60 per hour (paid monthly)
