Job Summary:
The Medical Secretary will be responsible for assisting with the day-to-day operations of a high volume practice and provide comprehensive clerical support for a rheumatology physician practice in the Department of Medicine located at 161 Fort Washington Avenue in New York City. The incumbent will be a key member of the clinical enterprise and will collaborate with the physicians in providing exemplary service to our patient population.
Job Responsibilities:
- Maintain, manage, and distribute physician schedules to the practice, clinic staff and administration
- Answer phones and direct calls appropriately
- Schedule infusions, appointments, office visits, ancillary services, and academic activities. Ensure appropriate documentation is completed for all of these activities.
- Secure proper referrals, pre-authorizations and/or pre-certifications for visits and procedures.
- Monitor all assigned EPIC work queues and address all work queue tasks timely
- Run insurance verification for all upcoming patient appointments, secure the visits and ensure referrals are received and linked in the EMR
- Perform mandatory appointment reminder calls, remind patients to be prepared with referrals, co-payments and payment for past due balances
- Collect co-pays, referrals, co-insurance and open account balances upon check-in
- Ensure patient demographics are correct and up-to-date at each visit, including pharmacy information, patient email and cell phone number
- Check-out patients, which may include scheduling follow-up visits, specialist office visit appointments or diagnostic exams, such as radiology, PFTs, ECHOs, etc.
- Monitor provider schedules and block schedules as needed.
- Manage patient schedule wait-lists
- Other duties as assigned
Job Qualifications:
- High school diploma or GED equivalency required.
- Medical secretarial training/experience in a medial office/ambulatory setting.
- One year experience in an ambulatory setting, knowledge of medical billing.
- Detail oriented, well organized, with excellent organizational skills.
- Familiarity to CPT and ICD-10 coding.
- Strong customer service skills.
- Bilingual (English/Spanish) preferred.
Hourly Rate Range: $20.19 - $33.17
Note: Our salary offers will fall within these ranges, taking into account experience, skill set and other differentiating factors including education.
