Your role

Do you have a talent for organizing and managing the day to day administration for a senior leader? Do you like to interact with a large number of people across the bank, enjoy communication tasks and being a trusted partner? Are you efficient, pragmatic and diplomatic?

We’re looking for a Management Support Officer for the following duties:

  • Managing and organizing the diary, schedule and correspondence for the Chief Business Officer and potentially supporting other senior managers
  • Performing ‘day to day’ administration such as travel planning and booking, event organisation, records management and internal communication tasks
  • Supporting the Operating Management with tasks like invoice handling, maintaining organisational structures, responding to ad-hoc requests and tasks.
  • Collaborating with multiple stakeholders such as senior UBS staff, operating managers, executive assistants, booking agents, etc. across the firm to achieve the best outcome

Your team

You’ll be working in the Group Operations and Technology Office team for Asset Management (GOTO AM) in London . We’re responsible for delivering essential technology platforms and development to UBS Asset Management. You will be part of a global team with footprint in the US, UK, Switzerland, Poland and Asia.

Your expertise

  • Ideally several years in the financial services industry as an executive assistant, mgmt. support officer or part of a Chief of Staff organisation
  • Experience in handling and safeguarding confidential information
  • Ability to communicate with senior executives in a diplomatic and confident manner
  • Excellent organizational skills and an eye for details
  • Ability to interact, build and leverage relationships with different functional stakeholders proactively, anticipating needs of the senior leader and find efficient and pragmatic solutions
  • Fluent in English, great communicator with a can-do-attitude
