Salary: £20,120.00
Job Purpose:
- To work within the Claimant team assisting and providing general support to the fee earners, who deal with all aspects of litigated and non-litigated personal injury claims
- Provide assistance within the Legal Customer Service Team
Key Duties & Responsibilities:
- Assisting with incoming phone calls
- Providing general administrative and clerical support within the Legal Customer Service Team
- Opening new claim on the system (Data imputing) and them allocating them to the handler
- Manning the commercial inboxes allocating incoming emails to files and notifying the handlers
- Proactively manage diaries and diarise actions
- Generating standard system driven letters
- Composing letters to clients/customers
- Maintain pro-active communication with clients and external agencies relating to claims
- Observing and maintaining firm confidentiality in relation to all correspondence and communication
- Taking responsibility for personal development and growth
- Effective prioritisation of tasks whilst managing a full workload
- Liaise and build relationships as appropriate with clients and their support staff
- Book client and internal meetings
- Prepare correspondence and documents from digital dictation
- Manage the case management system
- Prepare document bundles
- Printing handlers documents who are WFH
- Open and close files
- Set up new clients on the finance system
- File, archive, photocopy, scan documents as and when required
- Ensure that client contact information is kept up to date
- Assist with the booking of travel arrangements
- Liaise with Counsel and other legal representatives
- Proactively assist with ad-hoc business development and communications activities e.g. client contact reports, delegate packs etc.
- Maintain a level of individual knowledge required for the role
- Assist with incoming billing, cash collection and accounts queries
- Effectively work with fee earners and secretarial team members
- Handle confidential information in line with the firm’s data security protocols
- Minute internal meetings
Experience & Knowledge:
- Previous experience in administration or call centre role
- Good literacy and numeracy skills
- Excellent attention to detail
- A focused client service approach is essential, interacting with clients in a professional manner at all time.
- Working knowledge of MS Word and Excel
- Strong organisational and administrative skills
- Strong communication skills both verbal and written
- Ability to cope under pressure
- Ability to work to deadlines
- An ability to work using own initiative within boundaries, as well as in a team, to achieve maximum results
- Good attention to detail and an ability to work effectively with people across a wide range of levels and responsibilities.
- Good organisation and time management skills
