We are a global FTSE250 company based in Guildford who operate on an international stage with 5000 employees worldwide. We are seeking a PA and Support Administrator to join us asap on an initial contract basis covering a long-term sick absence working at our modern offices in Guildford.
Working Monday to Friday with some flexibility on working hours, we offer an hourly rate of up to £20 per hour plus holiday accrual, free onsite parking, electric car charging facilities and we may also be able to offer hybrid working once trained.
The suitable individual needs to provide effective, comprehensive, and confidential support and will have a ‘can do’ attitude, be discreet and be able to deal with confidential matters sensitively, calmly, proactively. You will have proven PA support experience ideally at director level, supporting one or more senior members. Candidates who have experience in PA, Office Management, Senior Administration and Company Secretary roles are encouraged to apply.
Working at our head office which sole function is admin, HR, legal and finance entertaining approx. 40 members of staff, you will report to and support the Company Secretary as well as the CEO, GFD and other members of the board in PA and administrative duties.
Duties include:
PA Support
- Booking of travel and transportation, both domestic and overseas, for the company execs, plus their guests and visitors when required. Arranging hotels and accommodation, both domestic and overseas, using our travel partners.
- Manage meeting room bookings at head office and external venues.
- Assist with preparing for Board and GEC meetings, including arranging catering and collation of information required for board packs. Setting up on the day and being on the ground for matters arising.
- Printing / binding of presentations and other materials.
- Some personal admin tasks for the CEO (collecting parcels, picking up lunch etc).
- Processing expense claims.
- Liaison with external contacts on conference attendance for the CEO and Head of Investor relations.
Administration Support
- Process invoices and arrange approvals.
- Purchasing – stationery, office supplies, refreshments. Dealing with deliveries of same.
- Daily post and courier collections.
- Manage the public mailboxes, dealing with incoming queries or forwarding on where appropriate.
- General office tasks, such as arranging maintenance visits, H&S, overseeing cleaning services and general office housekeeping matters.
- Provide ad hoc assistance to colleagues at head office as well as at the operating companies within the group.
The role would suit candidates with proven senior level administration and/or PA experience who are available and happy to commit to an interim role for approx. 3 months which may be extended.
