Who We Are Looking For
The HR Service Centre is responsible for providing high quality HR administrative support service, encompassing a wide range of HR activities associated with the employment life cycle.
The HR Service Centre (HRSC) Administrator is responsible for undertaking general administrative tasks within the HRSC.
The role involves processing a wide variety of administrative transactions for Service Centre customers (internal and external), within agreed service levels, using HR systems, following HR processes and procedures and ensuring compliance with KCA Deutag Worldwide Standards.
Key Responsibilities
· Provide fast paced HR administration support for HRSC activities in the employee lifecycle across the entire KCA Deutag business
· Provide HRSC administration in relation to both expat and in country employees (UK & Dubai)
· Interact with In-Country HR teams where necessary for support purposes
· Provide administrative support to projects within the HR function
· Gain an understanding of all HR processes, procedures and systems
· Provide admin support to HR projects
· Process multiple work requests within agreed SLAs
· Customer facing role requiring flexibility in working hours for service delivery
· Deliver a customer focused administration service that focuses on – taking ownership, providing customers with regular updates, and answering the work request correctly first time
· Support team members with carrying out HR inductions when required
· Support team members with any employee life cycle actions when necessary e.g. medicals, passport letters, basic visa support, reference requests
· Support the HR Advisors as required e.g. basic minute taking
· Maintain an effective filing system, ensuring naming conventions are adhered to
· Compile weekly and monthly reports in line with the HR calendar of activities
· SAP input related to employment lifecycle e.g. change of address
· Process on call / overtime and per diem payments
· Provide support with the processing and uploading of non-complex Land timesheets on a monthly basis,
· Gain an in-depth knowledge of workforce administration (WFA) processes and procedures, and good knowledge and understanding of relevant Time, Reward, Recruitment and Selection and Payroll processes and procedures
· Continual improvement of administration service provided
· Support any HR system testing related to transactions familiar to the administrator
· Employee and Relative Response support as part of the Global Crisis Management Plan (GCMP)
· Access, share and manage personal information relating to employees and colleagues in line with company and legal requirements regarding data protection and confidentiality
· Participation in HR change projects which require HR administrative support
Location: Aberdeen Head Office
Qualifications/Experience:
· Administrator with an eye for detail and a ‘right first time’ approach
· Experience working within a fast-paced transactional service centre environment advantageous
· Tech savvy with an ability to pick up new systems easily
· A collaborative team player proactively invested in sharing knowledge and experience with other team members
· Has the ability to challenge the status quo by looking for opportunities to improve existing ways of working
· Time management and organisational skills including the ability to prioritise tasks, work on multiple tasks and work to tight deadlines
· Basic knowledge of HR processes, procedures and policies advantageous
· Working with personal information relating to employees and colleagues in line with company and legal requirements relating to data protection and confidentiality
· Demonstrates a customer centric mindset
· Self-motivated and ability to work on own initiative
