Job Description
Executive Assistant to the Chief Finance Officer
Full time
London, Kings Place (3 days/week on-site)
Why Rolls-Royce?
We are currently looking for an Executive Assistant (EA) to support the Chief Finance Officer (CFO) and a member of the Finance Executive team based in Rolls-Royce offices at Kings Place, London. This is a brilliant opportunity for a well-organised and passionate individual to apply your administration experience to an extremely high profile role.
We pioneer cutting-edge technologies that deliver clean, safe and competitive solutions to meet our planet’s vital power needs. We’re ready for our future. We’re proud to be part of the pathway to net zero as we power society for generations to come.
Work with us and we’ll welcome you into an inclusive culture, one that invests in your continuous learning and development, and gives you access to a wide breadth and depth of experience.
This is an interesting opportunity to operate in a busy, world-class engineering and manufacturing environment.
We offer excellent development, a competitive salary and exceptional benefits. These include bonus, employee support assistance and employee discounts.
Your needs are as unique as you are. We encourage flexible working arrangements and support hybrid working wherever possible, so you can always be at your best - wherever and whenever you work.
What you will be doing:
In this role, you will support our Chief Finance Officer (CFO) and a member of the Finance Executive team. You will:
- Manage the diary for the CFO, including arranging meetings, using your high level of judgement and discretion to manage time and prioritise arrangements, ensuring all resources are in place for meetings, anticipating requirements, and preparing, checking and circulating materials in advance if necessary.
- Manage inbox, and mail on behalf of the CFO, using judgement to prioritise or redirect accordingly.
- Be the first point of contact for enquiries on behalf of the CFO, screening calls and responding to queries directly.
- Provide secretarial support to a member of the Finance Executive team.
- Build and maintain effective working relationships with key contacts, both internal and external, such as key customers, suppliers, government or regulatory bodies, along with senior leaders and their teams across the organisation.
- Organise and project-manage delivery of complex global events such as off-site conferences of senior leaders. Use judgement and organisational understanding to make appropriate administrative, logistical and hospitality arrangements to ensure professional event delivery with appropriate facilities.
- Produce professional documentation, which requires little checking or validation, including letters and minutes, creating presentations and preparing reports, ensuring deadlines are met. This will include gathering information from a variety of sources, both internally and externally, understanding how to obtain the data required, and process/evaluate data accordingly with little guidance.
- Be active in ensuring that Executive Team members have continuity of EA/PA provision, co-ordinating cover and planning ahead to minimise impact. Assist in resourcing internal and external EA/PA cover.
Who we are looking for:
At Rolls-Royce we embrace agility, are bold, pursue collaboration and seek simplicity in everything we do. These principles form our values and behaviours and are an essential component of our assessment process and are fundamental qualities that we seek for all roles.
- Significant previous experience in a senior PA/EA role in a similar fast-paced FTSE 100 environment, having provided board level support.
- Excellent planning and organisational skills, with excellent attention to detail and a high degree of accuracy in work
- You are able to predict managers' needs, exercise judgement, suggesting appropriate options when obstacles appear, and to act autonomously.
- You take every opportunity to improve your skills and knowledge and ensure that you really understand our business.
- Advanced level of computer literacy in Microsoft Office Applications.
- Ability to contribute to continuous process improvement activities, by identifying areas for process and system improvement, and creating and updating administration operating procedures.
