Office Administrator
General Roles:
· Answer Phones
· General Office Correspondence
· Order Stationery
Specific Roles:
Customer Care
· Ensure you are aware of each builder’s contract and customer care charter so that you know their requirements
· When we receive a customer care request we need to email the relevant supervisor straight away with a copy of the details. You then need to log an appointment in the Outlook calendar to remind the supervisor and yourself before any deadlines pass. Please inform senior management of anything that is overdue.
· Update the builder’s customer care department when the works are complete or if there are any problems with contacting the customer.
· Keep a central overall sheet that we can look at if you are not in the office.
· Input any relevant information into the system
· Some customer care works will be chargeable. You will need to liaise with the relevant people to work out costs and make sure we get agreement before we carry out the works. Raise any applications for the works when they are complete.
Sub-Contractor Documents and Training
· Keep the list of sub-contractors / companies who work for us up to date.
· Keep the sub-contractor information files up to date with all of the information we require.
· Create a list of documents required and a tick sheet for each sub-contractor.
· Email the sub-contractor payment advices weekly.
· Insurances and CSCS cards
Put expiry dates in the Outlook calendar with a reminder
Create standard letters / emails to remind sub-contractors
· Ensure sub-contractor H + S Handbook is updated and sent out annually
· Help sub-contractors purchase insurance through Crowthorne.
Supervisor Documents and Training
· Ensure we have up to date copies of driving license's. Look at registering with DVLA so we can view them on their website.
· Keep the training plan up to date and book refresher training well in advance.
· Ensure Citation training courses are up to date
· Send out health questionnaires annually
· Send out a monthly tool box talk for the supervisors to complete.
· Keep a record of tool box talks completed.
· Ensure important dates for all company vehicles (MOT, tax, servicing, etc) are logged in the Outlook calendar with reminders sent well before they are due.
Health and Safety / Training- General
· Ensure office fire drills, fire risk assessments and alarm tests are carried out as required
· Prepare paperwork for SMAS qualification well in advance of the expiry date
· Ensure we continue to comply with Citation requirements. Book in the annual meeting with Citation representative.
· Ensure office staff training is kept up to date ( e.g first aid and Citation courses including DSE and Fire)
· Ensure Citation update our health and safety information as required (annually is the minimum requirement).
· Keep the office risk assessments and COSHH up to date.
· Organise NVQ Training as required
· Liaise with CITB to claim back as much as we can for training.
Insurances
· Liaise with Crowthorne regarding fleet insurance renewals, Breakdown Cover and office insurances.
