About Teenage Helpline
Teenage Helpline is an online peer to peer mentoring service for young people. We can act as the first stepping-stone for young people who do not feel comfortable seeking support for themselves, or who need a listening ear to help them cope with personal issues.
About the role
This is an exciting opportunity for an individual to join our charity and contribute to our aim of supporting youth to fulfil their best potential. As an Executive Assistant you will work as part of the Executive Team.
You will provide administrative and secretarial support to two members of the Executive Team.
We are looking for an individual with strong organisational skills, an ability to prioritise and excellent communication skills. We have three roles available.
The role is voluntary therefore, experience is not necessary and is suitable for those looking to develop their skills or offer their time, however any relevant experience should be highlighted in your application.
This a remote role and it is a requirement that you will have your own device to use whilst volunteering. A commitment of two hours per week is required but working hours are flexible.
Key Responsibilities:
Roles and Responsibilities are outlined below but are variable to the needs of the board.
Provide key administrative and secretarial support to the Executive Team, including:
Calendar management, scheduling meetings and managing meeting invites
Expenses management, submitting expenses claims on behalf of executive team members
Drafting of documents, including letters, minutes of meetings, and other key documents as required
Filing and file management, including the electronic and physical filing of documents where appropriate, and the management of retention guidelines.
To act as a coach and mentor to other administrative support staff throughout Teenage Helpline
To provide other administrative and support services to the Executive Team as required.
Skills
Strong organisation skills, with the ability to manage multiple different people concurrently.
Strong communication skills, with the ability to communicate verbally and electronically.
Computer literate, with an ability to use Microsoft e-mail and calendars as well as word processing.
