Juice Recruitment is delighted to be in partnership with a prestigious executive search organisation in Bristol, in their search for an Executive Assistant.
The successful candidate will be working closely with the current Executive Assistant within the team, to support the Natural Resources department as they go through an exciting period of growth. The role will encompass a variety of client facing and internal duties, to provide an exceptional and professional approach to all given tasks.
Key Responsibilities:
- Extensive and complex diary management. Scheduling meetings with management and coordination of multiple stakeholders
- Manage a varying number of projects, with differing levels of complexity, whilst understanding the specific requirements of each client
- Extensive travel coordination (international and domestic). Including, but not limited to, visa applications, hotel reservations, ground transportation etc.
- Building and maintaining key client and EA relationships to enable more effective operations
- Producing and formatting various client facing documents
- Project coordination with the Heads of Delivery, clients, and candidates to ensure milestones are met on time
- Supporting client briefings and summarising notes from client briefings and involvement in each briefing session/kick-off
- CRM system management to become an ‘Invenias Super User’ (after the appropriate training)
- Prepping assignments to be shared on the client portal, adding all candidate information
- Work as a team with the other EAs, supporting each other to ensure all work is completed, inclusive of covering each other’s phones and diaries
- Organising company wide and team social events
- Coordinating and triggering the client and candidate experience review process (NPS). Liaising with NISUS and the client to ensure this happens promptly after the assignment is closed down
It is important that the successful candidate has effective time management with the ability to work under pressure and to deadlines, whilst also responding to the pace and momentum of individuals and the practice. This role also requires high levels of strict confidentiality given the nature of the work.
Key Skills Required:
- Bravery and confidence to make decisions on behalf of the senior staff members and to also challenge them when needed
- Flexible, deadline driven, organised and dedicated individual who has the enthusiasm and willingness to get to know the business, their clients, and candidates
- Thrive in a demanding atmosphere and be able to work under pressure
- Possess a robust yet calm personality, is resilient, reliable, enthusiastic, and confident with the ability to drive tasks forward
- In-depth understanding of MS Office Suite
Salary: Up to £36,000 per annum (plus a 5% bonus connected to the Guiding Principles)
Hours: Full time, Monday – Friday. Hybrid working is also available
