Executive Assistant

We are looking for an experienced Executive Assistant to provide high-level support at Board and Senior Leadership level, reporting to and working proactively to support our UK Managing Director. This is an exciting and varied position, playing a pivotal role in event organisation, meetings, UK and international travel, diary management, communications and much more.
You will have key relationships with other departments including but not limited to Board members, UK leadership team, EA to Operations Director, Sales Assistant and Marketing Assistant, Haribo Holding EA’s and external stakeholders; customers, agencies, suppliers and community groups.

Our mix that awaits you:
Some of the key accountabilities and responsibilities of the role are;
- Diary and travel management, ensuring the smooth running of the MDs schedule
- Organising meetings and events
- Preparation of all Leadership Team and Board meetings, including agendas and minutes
- Taking incoming calls
- Coordinated management of mail, monitoring incoming mail and acting on requests
- Preparing correspondence
- Preparing presentations
- Liaising with HARIBO Holding and RiGo, coordinating responses to requests from the HARIBO Group
- Coordinating the signing of all legal documents
- Greeting visitors to site
- Organisation of the annual Sales & Marketing Conference
- Managing international visits
- General admin support, including expenses and travel claims.
Ingredients that you bring with you:
- Minimum 5 years experience in PA or similar administration role
- Experience using the full Microsoft Office suite
- Written and verbal German language skills (advantage, not essential)
- Confidentiality

- High levels of flexibility and adaptability
- Flawless communication and presentation skills, both written and verbal

Hours of Work:
This role is 38 hours a week on a Hybrid basis based at our Castleford site however occasional national and international travel will also be required.
