Job description

An opportunity has arisen for a Director of Facilities in our operations team at RWK Goodman.

The newest addition to the to Operations team will be required to oversee the Facilities function (including Front of House) across all RWK Goodman locations – currently Bath, London, Oxford, Swindon, Marlborough, Thame, Bristol, and Manchester. You will need to be able to provide hands-on management and supervision of our Facilities Management and Front of House teams to ensure a smooth running of all offices.

You will also become a member of the firms Operations Committee, including operational matters across Finance, Marketing & Business Development, Risk & Best Practice, HR, IT & Facilities.

This role is location agnostic but will require regular travel to other offices, some overnight stays and is likely to require some unsociable hours.

Duties will include:

  • Management

    Day to day management of the Facilities and Front of House teams in all offices.

    Ensuring that all members of the department meet and, wherever possible exceed, the firm’s expectations.

    Designing and implementing processes to ensure the efficient running of all offices.

    Ensuring all team members are appropriately trained, mentored and supervised to effectively fulfil their roles

    Building and developing a culture aligned to our values (Forward thinking, Ambitious, Caring, Teamwork)

    Creating and maintaining excellent working relationships across the business, to help ensure the smooth running of the firm and offices from a Facilities perspective.

    Budgets

    Ensuring that tight budgetary control is demonstrated through vigorous auditing, contract renegotiation and close monitoring.

    Ensuring the budget is kept within, and wherever possible below, the agreed annual budget while constantly improving service delivery.

    Compliance

    Ensuring compliance with all current legislation and requirements, for example in regards to Health & Safety, electrical testing & environmental controls.

    Be a key member of the ESG Group and Environmental Committee, driving forward positive change

    Business Continuity Planning with primary responsibility for all Facilities and Front of House related issues.

    Contracts and Suppliers

    Ensuring that all contractual requirements are met, new contracts are negotiated as and when required and that all areas of the buildings are kept in good working order.

    Ensuring all contracts are kept up to date and SLA’s and costs are reviewed regularly.

    Working closely with contractors and building managers to ensure the efficient running of all buildings and that all service delivery requirements are met.

    Consolidation and renegotiation of supplier contracts, reducing costs wherever possible while improving service levels.

    Managing any external outsourced providers, as required.

    Space Planning

    Space planning, design, office moves and building works across all offices. Ensuring that all moves and building works are carried out on time, to budget and following all the necessary H&S regulations.

    Dilapidations works and negotiations in relation to expiring leases and office premises no longer required.

    File Destruction & Archiving

    Implementing new File destruction policies, renegotiating existing contracts. Significantly reduce storage costs over 3 years and ensure compliance with GDPR file destruction policies.

    Accreditations

    Achieving and maintaining relevant ISO and other accreditations, including ISO14001 Environmental Management accreditation and ISO45011 Health & Safety accreditation

Skills, Experience and Attributes

  • Experienced Head of Facilities with strong leadership and effective team building skills.

  • 15+ years’ hands on experience, ideally in Legal / Professional services.

  • Experience working across multiple sites, with management of a team of 20+ colleagues

  • Budget management of £5+ million per annum.

  • Committed, conscientious, passionate, hardworking, highly motivated with excellent organisational skills and an ability to prioritise multiple tasks, whilst working under pressure to achieve deadlines.

  • Offices move, refurbishment and fit-out project experience.

  • Ideally Qualified or member of IWFM, NEBOSH/IOSH
