Soka University of America is seeking a full-time Faculty Assistant and Assistant to the Dean of Faculty Office. Under the supervision of the Dean of Faculty, the Faculty Assistant and Assistant to the Dean of Faculty Office provides administrative support to the Dean of Faculty.
Candidates should demonstrate responsiveness toward and understanding of diverse student backgrounds, especially with regard to socioeconomic status, race, ethnicity, culture, ability/disability, sexual orientation, and gender identity and have a willingness to facilitate the university’s mission to develop global citizens.
Essential duties include but are not limited to:
- Serve as assistant to the Dean of Faculty Office; responsible for understanding the priorities, strategic directions, and philosophy of the Dean and incorporating this knowledge in the accomplishment of assigned work.
- Coordinate Dean of Faculty projects, collect, organize, and report data on Dean of Faculty operations.
- Assist the Administrative Coordinator of the Dean of Faculty Office as assigned.
- Prepare, set up, and maintain paper and electronic files of correspondence, faculty records, and other documents.
- Develop and implement new processes and procedures to improve efficiency within the Dean of Faculty office.
- Coordinate Faculty Sabbaticals for the Dean of Faculty Office.
- Assist with student scholarships and awards managed by the Dean of Faculty Office.
- Manage and assist the Dean of Faculty with student and faculty programs including, but not limited to, the President’s Research Assistant Program, the Faculty Merit Award Program and SUA Summer Student Research Assistantships.
- Assist with planning, scheduling, and announcing Dean of Faculty, Concentration, and Program events as assigned.
- Support Pauling Hall Faculty as assigned.
- Assist with managing the Dean of Faculty rooms in Pauling Hall.
- Assist Learning Cluster Coordinator, including:
- Maintaining and updating Learning Cluster web resources.
- Review and revise Learning Cluster Handbook.
- Assist with Learning Cluster budget management
- Assist Administrative Coordinate with the Learning Cluster Fair.
- Assist with event catering.
- Other duties as assigned by the Dean of Faculty.
Minimum Qualifications:
Education
- A bachelor’s degree from an accredited institution.
Experience
- Minimum of 3 years administrative work experience. Higher education experience is required.
Expected Skills:
- Excellent oral and written communication skills.
- Outstanding interpersonal communication skills both in person and by phone.
- High proficiency in personal computer systems utilizing databases, word processing, graphics, and spreadsheets, including MS Word, MS Excel, MS Outlook, and other Microsoft applications.
- Ability to independently write general correspondence and reports.
- Strong skills in proofreading and editing. Must be detail orientated.
- Knowledge of general office practices and procedures.
- Ability to maintain an accurate filing system and records.
- Capacity to work well independently and with a team in a high-pressure fast-paced environment.
- Ability to handle confidential matters and exercise diplomacy and discretion.
- Ability to maintain multiple priorities, projects and adhere to stringent deadlines.
- Ability to develop and maintain budgets.
- Capacity for developing and sustaining effective relationships with administrators, faculty, staff, and students.
- High ethical and professional standards.
Soka University of America offers excellent benefits. Salary range for this position is $63,000 to $73,000 and will be commensurate with qualifications and experience.
Employment is contingent upon the completion of a successful background check. Soka University requires all employees and students to be fully vaccinated for COVID-19.
