CASEWORK ASSISTANT
IMMIGRATION DEPARTMENT

Responsible to: Director

Responsible for: The conduct of specified cases and the delivery of professional and efficient service to clients.

The post holder will undertake the assigned duties and responsibilities professionally and efficiently ensuring that all actions are discharged within the regulatory and legislative requirements to which the Company is subjected and;

  • With full regard for the Company’s equal opportunities and health and safety requirements;
  • To achieve individual and team targets assigned through the Company’s annual planning and staff appraisal processes;
  • Within set guidelines and criterion of the Law Society, Legal Aid Agency and associated professional connections of the legal profession;
  • Subject to the Company’s approved strategies, policies and procedures.

DUTIES

  • To assist the caseworkers to conduct Immigration, Asylum cases (and all associated matters) in line with the guidelines, policies and procedures detailed in the Office Manual, ensuring that those associated with the case are informed regularly of the current position.
  • To assist the Admin Team, including on reception.
  • To attend on clients in person and on the telephone to assist where the caseworker is unavailable, correspond with clients and others as appropriate, undertake research, prepare Court bundles, including drafting relevant submissions, book interpreters, instruct Counsel and generally manage the caseloads of the caseworkers.
  • To ensure that clients are advised of appointments, that interpreters are arranged and a meeting room is booked.
  • To ensure that all files are up to date and worked on at least once every two months so that they do not become inactive.
  • To ensure that all filing is kept up to date both on paper and electronic filing systems.
  • To ensure that files are accurately prepared for billing within the relevant timeframes at the conclusion of a case.
  • To maintain an effective archiving system and ensure that all files are archived in accordance with the Company’s procedures.
  • To provide administrative cover for other caseworkers and support staff when needed.
  • To handle all client matters in a professional and efficient manner.
  • To ensure that casework expenditure is kept within budget limits, as agreed with clients or within the criteria set.
  • To ensure that the Quality Mark requirements of the LAA, Law Society and SRA are met with, including ensuring time and work recording is accurate and to maintain precise and accurate records.
  • To maintain files in an orderly and tidy manner, ensuring that all time, disbursements and other items are recorded correctly and quickly. To record accurately all attendances, provide file notes and telephone notes on each file.
  • To take responsibility for the financial management of client files in accordance with the SRA, LAA and the Company’s policies.
  • To achieve individual and team performance targets set for the department, which will be reviewed at least annually.
  • To undertake personal development within the criteria specified by the Law Society, the LAA, associated bodies and the Company.
  • To speedily and effectively disseminate information and knowledge of legislative, policy or case law changes to the personnel within the department.
  • To undertake all duties in line with professional standards and the Company’s policies and procedures.
  • To undertake such other ad hoc duties as the Directors may from time to time reasonably require.
