The City of Dundee

2. The Service and Area

The Finance, Infrastructure and Corporate Services (FICS) Directorate was created by bringing together a number of areas that were previously organised in different ways. The Directorate has a very broad remit and is crucial to the success of the
University, with a key role in supporting the delivery of the University’s new Strategic
Plan.

The FICS Directorate has ambitious plans to continue to improve its customer service focus and to transform its support services. The directorate's remit covers
(in no particular order) finance, estates, information technology, campus facilities, business development, commercial contracts and services, residences, procurement, administration, projects and business change and business continuity planning.

The Estates & Facilities service covers the development and maintenance of the estate as well as facilities management and a range of campus services. This critical service ensures the efficient and effective use of space, enhancing the quality of the environment for our staff and students and maintaining and developing the infrastructure within the context of available resources.

The Estates & Facilities service will also play a leading role in promoting environmental sustainability, contributing to the development and implementation of the University’s Environmental & Sustainability Strategy.

3. The Role

Main Purpose of Job:

  • Within a changing and dynamic environment, report to the Estates and

Facilities Manager & Duty Campus Safety Supervisor providing assistance and support to ensure the security of the institution, its physical assets and its people.

  • Effectively and efficiently assist with the response to all emergency situations which may arise on the University campus.
  • Assist with maintaining professional databases through the regular completion of appropriate documentation.
  • Provide assistance with all fire response including acting as a Fire

Warden/Marshal and/or assisting with evacuation

  • Deliver service to ensure the health & safety and all Campus occupants

Role Specific Duties and Responsibilities

  • To undertake patrols of University property, to summon the emergency services regarding incidents as needed, and to provide advice and assistance in relation to security incidents to those involved
  • To monitor closed circuit television screens, remotely monitored alarm systems and to staff the University’s Central Monitoring Station.
  • To respond to alarm activations or incidents through the receiving or transmitting of messages to the emergency service or alarm companies, the passing of information by radio or telephone to other members of University staff or through attendance at the incident scene.
  • To ensure the security and integrity of University Buildings. Hold and issue keys to staff, students and others outside standard office hours and.
  • To respond to all emergencies and/or critical incidents on campus and act as a first responder.
  • To proactively seek to maintain and improve the safety and security of all persons on Campus.
  • To respond to all Fire incidents and assist by acting in a Fire Warden or Fire

Marshal capacity.

  • To complete and submit all required documentation, including incident reports and all duty logs.
  • To carry out reception functions including advice and assistance to staff, students and visitors to the University and the delivery of messages through phone or in person.
  • To prepare rooms within the University for meetings and examinations including the movement and set up of tables and chairs and the issue of examination papers.
  • To assist in the running of university graduation ceremonies, conferences and other social events.
  • To, on occasion as necessity dictates, assist with standard Mailroom duties, including; receive, move, sort and deliver incoming mail and packaged goods and to pick up, receive, sort, prepare and frank outgoing mail and packaged goods for collection by various outside carriers.
