This is an exciting opportunity to join our multidiscipline screening team. We strive to deliver high quality care to women and their families in Coventry and Warwickshire. Screening encompasses a wide variety of testing during the antenatal and newborn period.
The role is administrative and aims to support the clinical screening team. On a daily basis you will be expected to ensure that all aspects of clerical administration are carried out. Communicating effectively with patients and staff on the phone and via email. Organising appointments electronically and requesting/filing notes. As a small multidisciplinary team we all work together in a busy maternity unit. There are lots of distractions and noise in the office, so its key that you are able to work though this and focus on the tasks. Many of the tasks are repetitive. Full on the job training will be given
To provide comprehensive and confidential administrative and clerical activities to meet the needs of the service in accordance with the departmental, trust and national standards, policies and procedures. To effectively communicate related information and advice to enable the multidisciplinary team to achieve operational excellence
Be able to deal with routine enquiries and take action as necessary, liaising with others as appropriate.
Be able to communicate effectively with staff, patients and/or external organisations using appropriate methods, understanding the need for confidentiality and sensitivity.
Maintain both manual and electronic filing systems and databases as required by the department, ensuring all documents are accurately and appropriately archived.
Maintain a comprehensive and efficient administration service, including photocopying/filing, providing support to the other departments and team members as requested.
Utilise relevant IT systems (both Trust and external) to ensure that all relevant patient data is updated, collated, and inputted accurately and appropriately archived.

Input, monitor and collate departmental documentation as required to assist in the production of monthly reports.
Be responsible for the organisation of Local Board meetings and other ad hoc meetings as required. Send out meeting agendas, minutes as required.
Be responsible for receipt and distribution of incoming/outgoing post and action accordingly.
Prioritise daily tasks to achieve timescales set.
Continually contribute to patient and business improvement agendas. Share ideas for potential improvements.
Support other areas of the department as service need arises (e.g., cover another area).
