Admin/Receptionist

Summary and Main Purpose:
To provide the administration function for the academy to ensure that all learners attend as required and associated accommodation, lunch time food and transport is provided. To also provide an administration support to all academy based colleagues.
Key Accountabilities:
- Communication of joining instructions through a variety of means
- Allocating learners to training groups as per academy timetable
- Managing safeguarding requirements in line with hotel SLA
- Ordering and ensuring effective delivery of learner food for each block week
- Liaison with hotel team on range of learner related issues including transport, attendance, hotel welcome meeting
- Reconciling invoices in relation to learner residential accommodation
- All reception duties in line with academy requirements
- Reviewing and endorsing end of block reports

Qualifications:
- Literate and numerate
Experience:
- Use of Microsoft software
- Administration experience and use of database
- Effective communication with all stakeholders over phone and face to face
Skills and Knowledge:
- Previous Admin Experience
- Assigning of New Sign ups to correct specialism group, including generating registers and sign in sheets. Sending the dates to the Learner, and their employer. Changing groups if learner moves specialism or cannot attend for a week. Cancelling learners who leave the program
- All U18 learners have parental consent to be on block training. All paperwork from the hotel for U18, lone females, and health issues is generated, signed by the hotel and saved within each learners folder.
- Checking Invoices for Hotel and food supplier ensuring the correct charges to each region. Raising the PRF for these costs. (New addition to the role) Chasing accounts when Invoices remain unpaid
- Petty Cash control and reconciliation
- Stationary monitoring and ordering when required. Ordering the cleaning consumables and drinks facilities.
- Receiving the on site deliveries including the daily food orders
- Exam invigilation
- Hotel Room booking for each learner, including answering queries about the hotel from learners, parents, employers and Remit staff. Cancelling rooms when learners leave the Apprenticeship.
- Calling each employer at the beginning of the week to confirm attendance of learner for the following week. Confirming any rooms that haven’t been confirmed by the employer.
- Hotel Liaison, taxi numbers, missed dinner orders, Monday dinner orders, welcome meeting attendance, booking the trainer room at the hotel
- Block Report approval (New addition to the role)
- Answering the telephone for site, and the queries from Employers, Learners, Parents and Remit colleagues.
- Support for the wider academy team.
