- Scheduling and liaising with freelance audio crew to work on music touring and event projects, using Teamtrack software
- Arranging crew logistics (hotels/flights/travel)
- Creating and tracking crew purchase orders, maintaining crew budgets and liasing between internal departments to ensure crew are paid in a timely manner
- Maintaining and updating the crew database on Teamtrack, championing ways to expand the freelance pool
- Creating and maintaining professional interpersonal relationships with crew
Project Administration;
- Compiling event documentation such as health and safety paperwork, NDAs, PQQs
- Supporting the completion of generic event risk assessment and method statements with job specific information in liaison with Project Managers and H&S Manager
- Booking suppliers and managing project budgets in conjunction with Project Manager
- Organising event-specific logistics
- Creating and processing purchase orders; data input, tracking status and booking in, liaising between suppliers, manufacturers and relevant internal departments
- Compiling and producing ATA Carnet documentation; liaising with internal departments and external third parties including Birmingham Chamber of Commerce and ATA Carnet clients.
- Interact with clients in a professional manner in support of Project Managers when required
General Team Support;
- Assisting the Project Support Manager with developmental and analytical tasks
- Take part in team meetings, brainstorm new ideas to make the team and processes more efficient.
- Interfacing between the team and the Marketing department to update and maintain social media accounts
- Collaborating with other departments and teams within the Live Productions division to keep the flow of communication open and create a positive working environment
- Minimum of 5 years experience in an administrational or operational role – experience within the industry or a similar role would be advantageous
- Educated to GCSE level, with a minimum of 5 grades C and above
- Good working knowledge of Microsoft Office, particularly Excel
- Excellent written and verbal communication skills are essential, with the ability to build professional interpersonal relationships
- Time management skills with an emphasis on managing your own workload and prioritise tasks
- Commercial awareness and the ability to manage project budgets
- A team player with the ability to work with initiative whilst also supporting other team members
- Flexible and adaptable with the ability to multitask, problem solve and remain calm under pressure
- Desired;
- Experience using Teamtrack software
- Knowledge and/or interest in the live events and music touring industry
- Experience creating and/or working with ATA carnets
- Willingness and ability to learn quickly with on the job training
