EA to ExCo
Location: London – Hybrid working
Role Overview
This is an opportunity to join a high-performing team, working in conjunction with the Executive Assistant to the CEO (EA) to provide executive support to the 3 members of the Executive Leadership Team (ExCo), as well as to support a discrete portfolio of duties. Diary management, travel arrangements, task tracking and commissioning and collating briefings for the 3 members of ExCo is integral to the role, working alongside the EA to ensure executive time is managed effectively across the business. Duties will also include supporting the Chief of Staff (CoS) in the coordination and administration of TM Forum’s governance structure and executive relationship management.
Key Responsibilities including but not limited to:
- Executive Leadership support:
- Management and support of ExCo’s schedules (comprising CFO, CTO and CCO) including diary co-ordination, briefings and travel arrangements – with coordination of multi-party meetings across multiple time zones.
- Collate and submit relevant expense-reporting for the 3 Executive Committee Members.
- Working with the CEO’s office to ensure smooth co-ordination of diary and travel arrangements with the CEO.
- Provide support to the CEO during annual leave of the EA, as well as supporting the CoS on an ad hoc basis to discharge a discrete portfolio of duties.
- Governance support:
- Maintaining an annual calendar for the TM Forum governance structure, including supporting coordination of agendas between the Advisory Boards and the EA-supported Board, Committees and Strategic Committees.
- Supporting the timely preparation of agendas and materials and minute-taking for Advisory Boards and/or Board Committees, as well as maintaining their relevant web pages.
- Executive relationship support:
- Coordination with the CEO’s Office to maintain key executive-level relationships.
- Maintaining an executive database, as well as tracking and supporting a regular cadence of inter-personal executive communications for the relevant members of the Senior Leadership Team.
Experience and Qualifications
- Relevant experience as an assistant at executive level
- Excellent MS Office knowledge
- Outstanding organizational and time management skills
- Excellent verbal and written communications skills
- Discretion and utmost respect for confidentiality
- Ability to research and collate complex travel itineraries
- Enthusiasm to work collaboratively as part of a high-performing team
- Experience of Salesforce highly beneficial
