Job Summary:
The successful candidate will have high attention to detail and excellent communication skills combined with the ability to effectively prioritise own workload.
You will be an essential member of the Operations/Admin Team. The role will be trained to cover a range of administrative tasks and act as additional “hands-on-deck” depending on the pressures in the admin team. Full training will be provided, along with ongoing support.
This post will involve supporting with the day to day administration tasks such as sending referrals, processing new patient registrations, filing documents and coding. This post will require exemplary attention to detail skills and be a great communicator.
JOB ROLE
· To support the Operations Manager by completing the allocated tasks within the requested timeframe.
· To liaise with the Partners, Practice Manager and the Operations Manager as needed.
· To support the administrative and secretarial teams.
· To scan all incoming documents on Docman.
· To update patient’s medical records from post/Docman.
· To complete all tasks related to patient records (summarising, deductions, notice of change forms, consent forms) on EMIS, Docman and any other systems.
· To assist with inbound document coding.
· To retrieve and re-file records as required, ensuring strict alphabetical order is adhered to.
· To ensure correspondence, reports, results etc. are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.
· To ensure records are kept in good repair with all necessary information on the outside cover clearly visible.
· To ensure that all new patients are registered promptly and accurately.
· Update patient’s medical records from post/docman
· To support with coding A&E, 111, Walk-In centres attendances on patient’s medical records.
· Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
· To archive records on a rolling basis.
· To carry on administrative tasks as requested by the clinical staff.
· To cover ad hoc projects.
· To acknowledge limitations in completing certain tasks and request support from senior staff members.

Part-time hours: 25 per week
