Administrator (part time)(Position can be fully office based or hybrid working once fully trained. Training will be largely office-based)
We are looking to recruit a part time administrator to join our dedicated End Point Assessment Business unit (currently 4 people). You will work closely with the Senior EPA Co-Ordinator on a daily basis. This role has a particular focus on providing support and administration to our end-point assessment services division which will support assessment of 1500+ apprentices for a variety of customers (ranging the MOD to Commercial customers).
The position is part time (17.5 hours per week), working over 5 days (usually between the hours of 8am and 6pm, Monday – Friday) on a flexible basis to suit you and the business needs. However later evening hours could be considered. You will also need to be flexible at times to cover holiday absence etc. Overtime will be required occasionally to ensure we deliver contractual requirements for the customer. Overtime will be paid in line with the rates shown in the staff handbook on all occasions where 30 minutes or more of overtime has been completed on a calendar day. Time in Lieu may be offered as an alternative to payment from time to time.

Responsibilities:
- Enrolling apprentices on the RTITB Learning Management System and providing support when required
- Processing and issuing apprentice end-point assessment results
- Claiming certification from ESFA
- Raising invoice requests
- Responding to emails from customers, apprentices and regulatory bodies in a timely manner
- Communicating with our End-point Assessment customers often (via email and telephone), building and maintaining an excellent working relationship with them and always trying to help them whilst not compromising legal/regulatory requirements
- Maintaining accurate records of all emails and calls with customers in RTITB’s bespoke CRM and associated systems
- Protecting Apprentice and Assessment confidentiality
- Reporting any Safeguarding concerns immediately
- Taking ownership of the gateway declarations and providing an effective and efficient service to complete the swift transactions, to ensure apprentices have a timely EPA journey
- Understanding the vital implications of noncompliance for Ofqual and RTITB as a regulated EPAO if timelines are not adhered to
- Prioritising and taking ownership of booking requests through an online system, ensuring the cross match of gateways and requests to ensure swift allocation of EPA resource and services
- Be able to use numerous platforms to perform checking operations, such as online booking and gateway forms, the use of Resource Management system to allocate, book and confirm the EPA
- Complete ongoing training with a full inventory of Induction activities.

You will have the following (essential):
- Experience of working in a fast-paced, high volume customer service environment
- Prior experience in a compliance-led administration role
- Determination to quickly develop a full understanding of apprenticeships and end-point assessments
- Excellent telephone manner
- Ability to simplify and communicate complex information effectively in writing
- Experience of working with Microsoft Outlook, Word and Excel
- Desire to get things right first time and to continuously improve
You might also have the following (desirable):
- Experience of working in a heavily regulated sector for example banking/insurance
- Experience of working in the apprenticeship/regulated qualifications sector
- Knowledge/experience of Warehousing, Transport and Logistics training
