Job description

Boost Awards helps businesses enter awards successfully. We’re looking for a (primarily) remote working Administrator, to join our small, friendly team in Bournemouth, supporting the Project Co-ordination team.

Boost Awards is the world’s first award entry consultancy. The team of 25 (mostly on payroll) helps businesses choose and then enter awards successfully. This has been our niche since June 2006. Boost is an exciting, fast-paced environment to work in with a strong emphasis on collaborative working. As a unique organisation, we don't expect candidates to have had specific experience within the sphere of award entry consulting.

We need a reliable, hard-working and proactive Administrator to join our friendly team in the Bournemouth area. The role is primarily based working from home, with one day in our shared office space in Bournemouth (usually Tuesdays) and occasional company get-togethers on other days. Our standard working hours are Monday to Friday 9.00am – 5.30pm, although for the right candidate we would consider the option to work school hours. You will primarily be assisting our Project co-ordination team while simultaneously handling a mix of and supporting our award entry consultants.

This role is integral to ensuring the smooth running of our entire team, the majority of whom work remotely. As such, it requires an excellent communicator who is approachable, with good listening skills and a diligent, meticulous approach. This is an excellent opportunity for anyone who would like to develop their skills in an office, marketing and/or project co-ordination.

The role primarily supports the Project co-ordination team in their daily admin tasks, with occasional support directly to consultants. The role will also provide support to our in-house Marketing Manager.

Administration duties include:

  • Gathering information about potential new clients and upcoming Awards
  • Producing reports for Award Consultants on the status of the Award entries
  • Supporting our award entry consultants with various tasks (document production, transcribing calls/videos, researching awards and prospective clients etc.)
  • Uploading/submitting client entries (training to be given)
  • Client contact to arrange calls and meetings (including travel/hotels as needed)
  • Using and updating our internal systems (training to be given)
  • Logging, monitoring and distributing incoming sales leads
  • Checking/querying accounts as needed, including helping to raise and upload client invoices
  • Chasing payments, forwarding remittance advice from clients to our accounts, helping our clients set us up as a supplier and filing receipts
  • Ensuring smooth payment of invoices from our suppliers
  • General ad hoc tasks to help the smooth running of the business and to keep the team happy!

Key qualities, skills and experience:

  • Previous administration and/or project administration experience
  • Comfortable with IT and learning new systems
  • Highly organised
  • Meticulous eye for detail
  • Proactive and happy to use initiative
  • Excellent communication skills

Optional but beneficial skills and experience:

  • Previous experience of working to tight deadlines
  • Using Adobe graphic design tools
  • Proof reading.

The work environment is changeable and deadline driven, for this reason the list of duties above will vary in terms of frequency and timing; so you will need to be highly flexible. The mix should make this an interesting, varied role for someone who can learn fast, and comfortably manage multiple tasks simultaneously while always using outstanding attention to detail. Full training will be given.

If interested, please send us your CV along with a covering letter.
