Pineapple utilises a wide range of technology and project methods to ensure those amazing spaces are on-time and on the money for our clients.
What we're in need of…
We're looking for an experienced Executive/Administrative Assistant to support our MD with diary management, comms (email), planning of meetings and calls and project team meetings, company admin (marketing, accounts) managing clients and third parties.
We know that an exceptional EA can improve outcomes for our clients by enabling the performance of the executive they support. That's why we're seeking a passionate and ambitious EA who thrives in a fast-paced environment where they can make a real difference.
The role will be incredibly varied, covering many of the admin tasks associated with running a small consultancy, but also some small projects, marketing and project work.
Whilst part-time now, as the company grows we expect the role to grow in responsibility, time and seniority.
What you'll be involved in…
- Calendar and inbox management for the MD. Anticipating changes and proactively supporting them to keep their plates spinning.
- Supporting our leaders with their important project meetings whether that is with agenda, deck preparation, taking minutes or following up on actions.
- Organising and maintaining the company and project task lists
- While your focus will be on administering the day-to-day, there will also be opportunities to get involved in project work and other initiatives that interest you. This could be some marketing & sales, design management and developing our own systems.
- Taking ownership of, and helping to build systems for project work, tasks, accounting, marketing, etc.
You should apply if…
- You have experience working as an EA, project management or admin role previously within a fast-paced environment.
- You're resilient and tenacious in your approach to getting things done you're not afraid to ask questions to gather the context you need to work autonomously
- You have some prior experience using Notion, Microsoft apps, Google Suite, etc. Full training will be provided, but you should be proficient with technology and productivity apps as it's a big part of this role.
- You are excited by the opportunity to be involved in a broad set of responsibilities and able to context switch with ease.
- You have excellent communication skills with a proven ability to write and adapt style to different audiences
- You enjoy work where attention to detail is a key strength

The Interview Process:
There will be four stages for this role...
- Shortlisted through Indeed application
- Call (15 min): we will reach out for an initial conversation
- Task: This will be sent to you and will be completed ahead of the final interviews.
- Final interview: in person at our office
Further details & Compensation:
- You will be mostly working from home, but we expect some project work in the field, as well as some time weekly hot-desking in our shared office spaces in London. The ways of working and routine will be agreed upon appointment, and we are open to options.
- This role is part-time, Monday to Friday at 25 hours per week, however, it may be that some days you’ll need to work more and less during others.
- All expenses and travel to work locations will be covered.
- Salary starting is £19,500 but there’s opportunity to grow this with the business.
- Annual bonus based upon company performance - which you will be a part of growing.
- Training and development in a start-up environment / modern consultancy.
