Job description
To support the mortuary and cellular pathology team in the day to day administrative tasks required.
To provide and maintain an efficient and effective support service which meets Departmental, Trust and National standards, policies and procedures.
To act as a source of advice and guidance regarding the administrative speciality.
1. Act as the first point of contact for dealing with routine enquiries and take action as necessary liaising with others as appropriate
2. Communicate with staff and/or external organisations using appropriate methods. This includes but is not limited to stakeholders such as coroners, funeral directors and other trust departments
3. Maintain both manual and electronic filing systems and databases, as required by the department and Trust policies, ensuring all documents are accurately and appropriately archived.
4. To ensure, wherever possible, that all documentation is up-to-date, in an orderly fashion and available whenever decisions are being made, reporting exceptional circumstances where necessary
5. Maintain an efficient and comprehensive administrative service, including photocopying, scanning and providing support to the departments and other team members as requested
6. To implement and maintain an efficient office management system/procedures to enable the department to optimise their standards of service

1. Utilise relevant Trust IT systems, as determined by the role, ensure all relevant patient data is collected and input accurately in line with Trust guidelines
2. Assist with dissemination of all relevant information to departments, external and internal users (e.g. dissemination of minutes, memos)
3. Assist with training new team members in Trust operational systems and department procedures
4. Provide a supporting role for the Quality Team including updating notice boards, audits, distributing documents into folders, wall displays, department tours and general administration
5. Act as first point of contact for complaints within the department, dealing with them accordingly and in line with Trust policy and departmental standards
6. Provide appropriate cover in the absence of other members of the cellular pathology team
7. Continually contribute to patient and business improvement Agendas. Share ideas for potential service improvement
8. Understand they will be working in area caring for the deceased and be able to cope with seeing and hearing distressing information.
